The Veterans Affairs, Veterans Health Administration is looking for a Senior Medical Support Coordinator, GS-7 role within the Community Care department.
The Senior Medical Support Coordinator (MSC) oversees and assigns tasks, contributes to performance evaluations, addresses daily operational challenges, and ensures a smooth workflow within the Community Care unit.
The individual in this position will actively participate as a vital member of the designated team. This is an internal job posting.Key Responsibilities
The Senior MSC will receive cross-training in various administrative functions and may be tasked with providing coverage as needed.
The individual will be expected to step in during the absence of any MSC on the assigned team and must be capable of executing all responsibilities assigned to team members.
They will organize tasks, prioritize effectively, and delegate responsibilities to meet established deadlines.
Effective communication with team members, peers, and supervisors is essential to achieve desired outcomes while adhering to established policies and regulations.
Demonstrating courtesy, respect, and a positive demeanor towards patients, colleagues, and the public is crucial. The Senior MSC will provide frontline support to clients with inquiries or concerns, exercising discernment and sensitivity in resolving issues promptly and accurately.
Advanced knowledge of staffing clinical and customer service areas is expected.
Utilization of computerized systems and databases to enter, modify, and retrieve sensitive information and various data from electronic medical records, scheduling systems, and reporting formats is required.
The incumbent must work independently and efficiently to manage a diverse range of tasks, including setting priorities and coordinating workflows.
The role involves screening and receiving phone calls in a courteous and timely manner, identifying the nature of requests, and providing the necessary information while adhering to privacy regulations and established clinic protocols.
Building and maintaining effective working relationships with all clinical and administrative personnel is essential to prioritize activities that support direct patient care.
Interpreting and applying a complex array of relevant laws, regulations, directives, and policies concerning the administration of VA healthcare benefits is a key function.
Conducting special audits, studies, or surveys will be part of the role to assist in developing procedures and help staff collect complete and accurate data for reporting and revenue generation.

Applicants must be U.S. Citizens. Selective Service Registration is mandatory for males born after 12/31/1959. Proficiency in written and spoken English is required. Participation in the seasonal influenza vaccination program is mandatory for all Department of Veterans Affairs Health Care Personnel (HCP).

Basic Requirements:
United States Citizenship:
Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education: Six months of experience in clerical, office, customer service, or other administrative roles indicating the ability to acquire the necessary knowledge and skills for this position; OR, Education: One year above high school; OR, a combination of experience and education.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who meet the criteria).
Grade Determinations:
To qualify for the GS-07 level, candidates must have one year of experience equivalent to the GS-6 grade level.
Experience at the GS-6 level includes, but is not limited to: arranging for coverage of all responsibilities; distributing and balancing workload; training new employees; certifying employees on scheduling and assignment competencies; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments; providing refresher training to staff; creating and maintaining employee work schedules; orienting and training new and current employees; ensuring training requirements are met; organizing work structures; and acting as a liaison to resolve daily conflicts.
Demonstrated Knowledge, Skills, and Abilities (KSAs):
Candidates must demonstrate all of the following:
Advanced knowledge of medical terminology and clinical flow processes related to access to care across multiple clinics and specialties.
Ability to utilize various advanced patient systems in support of multiple clinics in an interdisciplinary environment.
Ability to organize work, set priorities, and delegate tasks to meet deadlines.
Skill in communicating effectively with individuals to achieve desired outcomes and coordinating with interdisciplinary care team staff.
Ability to provide staff development and training.
Ability to manage staffing requirements and workflow priorities, adjusting work flow to meet team and patient needs.
This includes the ability to follow up on pending issues and understand the impact of incomplete work across multiple clinics.

Physical Requirements:
This position requires visual acuity, adequate auditory perception, clear speech, and manual dexterity. Extended periods of sitting may be necessary, along with some bending and carrying of items.
