Position Overview

Role Summary:

This role is designed to offer comprehensive support to the executive leadership team, managing administrative responsibilities related to scheduling, policy formulation, and overall office administration. The ideal candidate will be a highly reliable, organized professional who demonstrates a high level of discretion and possesses outstanding interpersonal and multitasking abilities.

Location and Travel:

  • Primary office assignment with the possibility of remote work when appropriate.
  • Occasional travel may be required for meetings, training sessions, and other corporate events.

Key Responsibilities:

  • Provide administrative support to each executive team member, including drafting and editing correspondence, preparing memos, and managing communications on behalf of executives.
  • Maintain accurate and comprehensive records, ensuring the handling of confidential information with sound judgment.
  • Coordinate meetings by managing schedules, sending reminders, gathering necessary documents, and organizing catering as needed.
  • Oversee the executive's calendar, prioritizing appointments and addressing sensitive matters.
  • Assist with office maintenance by coordinating property repairs and upkeep.
  • Create and manage spreadsheets for leadership metrics, goals, and budgets.
  • Support the planning and execution of company-wide events.
  • Compile information and prepare presentations for key executive meetings.
  • Arrange travel itineraries for the Executive Team and manage travel logistics for other key personnel as required.
  • Process expense reports through the company’s expense management system.
  • Provide backup support for the reception area, welcoming visitors and directing them appropriately.
  • Engage in special projects and additional tasks as assigned.
  • Fulfill other administrative duties as required within the organization.

Qualifications:

  • Required:
    • High School diploma with 5-7 years of experience as an Executive Assistant supporting senior leadership.
    • Exceptional communication skills at all organizational levels and with external stakeholders.
    • Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
    • Strong typing skills with a focus on accuracy.
    • Detail-oriented with a commitment to excellence.
  • Preferred:
    • Associate's degree in Business Administration.
    • Experience with SharePoint.
    • Familiarity with ViewPoint – Vista.
