SUMMARY: The primary responsibility of this role is to ensure the accurate entry and validation of all consumer loans within the loan management system, adhering to departmental guidelines and maintaining strict accuracy and control measures. This position serves as the initial point of contact for retail branches regarding customer inquiries or issues, requiring thorough research, processing, and communication of results to either the customer or branch staff. Daily tasks include processing payments received via mail through branch capture, identifying exceptions, and maintaining necessary documentation for the required retention period. Additionally, the role involves the secure and organized management of loan vault documents, including those designated for off-site storage.

ESSENTIAL DUTIES and RESPONSIBILITIES:
  • Perform precise data entry for various consumer loan types, including but not limited to residential mortgages, HELOCs, unsecured loans, and auto loans, either manually or through automated systems.
  • Retrieve and review paper documents against the data extract or origination system for validation purposes.
  • Ensure that all loans received for entry are balanced between funding and input, with appropriate crediting or debiting of all general ledgers.
  • Maintain key documentation, including tracking of real estate loans located in flood zones.
  • Process all mail payments for different loan types, including commercial loans, through branch capture on a daily basis.
  • Balance and keep proof documents, including checks and statement copies, for the mandated 90-day period.
  • Set up all ACH and AFT transactions received from branches for consumer loans.
  • Act as the main contact for retail branches and customers regarding inquiries related to loan payments, late charge waivers, interest calculations, and billing notices.
  • Conduct non-exception file maintenance and transactions, such as payment due date changes and late charge waivers.
  • Perform SOX reviews for loans entered by other department personnel to validate financial, regulatory, and compliance data, reporting any trends or issues to management.
  • Ensure that all file maintenance is completed in accordance with source documents and is valid, performed by authorized staff.
  • Review documents to confirm the Bank's valid lien position for titled consumer loans, updating tracking systems and notifying the appropriate department if documentation is not received in a timely manner.
  • Examine electronic titles and manage incoming e-titles daily.
  • Utilize system-generated information to provide quotes and process payoffs for consumer car loans.
  • Monitor department tickers for ongoing tasks.
  • Review loans with low principal balances for potential payoff opportunities and customer notifications.
  • Assist in preparing satisfactions for loans that have been paid in full.
  • Maintain an organized structure within the loan vault.
  • Complete all mandatory and elective training, including BSA and Anti-Money Laundering procedures, ensuring compliance with all relevant regulations.
  • Regular attendance is an essential requirement of this position.
  • Perform any other duties as assigned.
EDUCATION and/or EXPERIENCE:
  • High school diploma or GED.
  • A minimum of 3 years of experience with loan documents in a lending or loan servicing environment, with the ability to read and interpret such documents.
  • Knowledge of lending and servicing regulatory and compliance guidelines.
  • Familiarity with lien titling, including experience with electronic titles and UCCs.
  • Understanding of interest accrual methods applicable to various loan types.
  • Strong organizational skills with attention to detail, capable of multitasking in a fast-paced environment.
  • Effective verbal and written communication skills.
  • Team-oriented with a demonstrated willingness to assist colleagues during peak workflow periods.
