The Outsourced Services Consultant plays a crucial role in managing all internal-facing vendor-provided corporate services for CNA. This position involves reviewing reports related to Corporate Travel, Mailroom Operations, Corporate Card, Fleet, Courier, and Office Supplies to ensure compliance with Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) during quarterly business evaluations. The consultant will collaborate with internal stakeholders to address their needs and ensure that documentation is up-to-date. Additionally, this role focuses on building and maintaining vendor relationships while monitoring service levels, expenses, and customer satisfaction.

JOB DESCRIPTION:

Key Responsibilities

The consultant will perform a variety of tasks in line with departmental standards:

  • Responsible for reporting on vendor performance and service delivery, supporting the Corporate Services team in managing relationships with outsourced providers across various services including mailroom, records management, courier services, catering, travel, and more. This includes consulting with Procurement to recommend contract improvements.
  • Evaluate travel objectives and programs set by leadership, ensuring alignment with policies and procedures while communicating effectively with vendors and internal stakeholders.
  • Oversee related expenditures and assist in managing the departmental budget, ensuring timely and accurate processing of vendor payments and reconciliations.
  • Review and approve final invoices from outsourced providers to confirm the accuracy of charges, coordinating with Financial Planning & Analysis on accruals for services rendered but not yet billed.
  • Generate reports for leadership to assess vendor performance and provide recommendations ahead of contract renewals, analyzing vendor utilization to ensure mutually beneficial relationships.
  • Manage market share travel commitments with preferred suppliers to uphold corporate discounts.
  • Develop, analyze, and maintain reports related to travel and fleet management, tracking business travel trends to recommend improvements and cost savings.
  • Actively manage content on CNA's designated Travel Management tool and intranet sites, ensuring relevant process updates are communicated across the organization.
  • Foster collaborative relationships with vendors, monitoring and analyzing service delivery, results, and expenses, while conducting quality reviews to identify areas for improvement and implement solutions.
Additional duties may be assigned as necessary.

Reports to Director or higher.

Skills, Knowledge & Abilities
  • Proficient in managing external travel, mailroom, fleet, and corporate card operations.
  • Familiarity with industry trends in travel, mailroom operations, corporate credit card management, and fleet services.
  • Exceptional communication and presentation skills.
  • Strong interpersonal skills with the ability to engage effectively with internal and external partners.
  • Ability to maintain a client-focused approach, even in challenging situations.
  • Excellent organizational, analytical, and problem-solving skills, with a data-driven mindset and the capacity to manage multiple projects.
  • Proficient in Microsoft Office Suite and other relevant business software.
  • Ability to work independently and collaboratively across departments.
  • Willingness to travel up to 10% of the time.
Education & Experience
  • Bachelor's degree preferred in a relevant field or equivalent experience.
  • Typically requires 3 to 5 years of related work experience.
  • Experience in managing corporate programs, including mailroom, travel, fleet, and courier services.
