Bilingual Appointment Coordinator

We are currently seeking a highly efficient Bilingual Scheduling Coordinator (Fluent in Spanish & English) to manage and streamline scheduling operations. This is a full-time, permanent role that offers day shift hours.
Key Responsibilities:
- Develop, maintain, and revise schedules for personnel, appointments, meetings, and events.
- Collaborate with team members to ensure schedules are in sync with availability and project deadlines.
- Address scheduling conflicts and modify appointments as necessary.
- Communicate scheduling information to relevant stakeholders, including updates and reminders.
- Act as the primary contact for scheduling inquiries and challenges.
- Coordinate with clients, vendors, and other external entities to set up meetings and appointments.
- Keep precise records of schedules and appointments.
- Prepare and distribute schedules, calendars, and related documentation.
- Assist with administrative duties, such as filing, data entry, and correspondence.
- Work closely with other departments to ensure effective scheduling and coordination.
- Oversee and manage scheduling tools and software.
- Support the planning and execution of events and special projects.
- Prior experience in scheduling, administrative support, or a related field.
- Exceptional organizational and multitasking capabilities.
- Strong communication and interpersonal skills.
- Proficiency in scheduling software and MS Office Suite.
- Detail-oriented with strong problem-solving abilities.
