Position Overview
If you resonate with the idea of delivering exceptional service, TOTE Maritime is in search of a Customer Service Specialist to join our dedicated team.
The Customer Service Specialist plays a vital role in the success of TOTE Maritime Alaska by fostering strong customer relationships, addressing customer needs, managing bookings, resolving issues, generating reports, tracking cargo, and coordinating logistics.
Key Responsibilities:
- Manage and update bookings, bills of lading, and transport arrangements for designated TOTE Maritime Alaska vessels.
- Respond to customer inquiries regarding vessel schedules and operational requirements, while effectively resolving any issues.
- Monitor cargo status and provide timely updates to customers, vendors, and internal departments.
- Communicate relevant policies, schedule changes, and regulations to customers regarding shipments.
- Coordinate logistics for transloads, deliveries, and pickups.
- Ensure accuracy in all Web and EDI bookings.
- Develop and maintain positive relationships with customers and vendors through proactive communication.
- Conduct audits and generate various reports for customer and internal use.
- Collaborate effectively with internal teams to foster a supportive work environment.
- Perform precise and efficient data entry tasks.
- Assist in acquiring, scanning, and attaching signed bills of lading into the system.
Qualifications:
- Associate degree preferred; however, a minimum of three years of relevant experience in the transportation sector may be considered in lieu of formal education.
- Three to four years of experience in customer service or billing, ideally within the transportation industry.
- Exceptional customer service and communication skills, both verbal and written.
- Strong mathematical and organizational abilities.
- Team-oriented mindset with a commitment to supporting departmental goals.
- Ability to anticipate and understand customer needs effectively.
- Proficient in multitasking and prioritizing tasks.
- Capable of working independently with minimal supervision.
- Flexibility to work varied hours, including evenings or weekends as necessary.
- Proficient in standard software applications, including Windows and MS Office Suite (Outlook, Word, PowerPoint, and Excel), as well as web-based applications.
