Overview:
The Appointment Scheduling Specialist plays a crucial role in overseeing the complete scheduling operations of the clinic.

This includes managing preregistration, registration, and patient reminder processes alongside the scheduling and rescheduling of appointments, all while ensuring exceptional customer service.

Responsibilities:
  • Scheduling: Develops and maintains scheduling templates that accommodate call schedules, monthly service schedules, and vacation schedules as directed by clinical leadership.
  • Responds promptly to patient and therapist inquiries, ensuring clarity on deadlines.
  • Schedules patients based on therapist recommendations and reschedules as necessary.
  • Communicates any scheduling conflicts to relevant staff.
  • Prepares appointment schedules in advance for parents/guardians.
  • Maintains reports on unfilled or open appointment slots.

Demonstrates proficiency in utilizing electronic patient management systems, such as Epic, along with Microsoft Office applications to support scheduling, check-in, and registration tasks.

  • Pre-registration: Contacts patients a week prior to appointments to gather registration information and confirm attendance.
  • Registration: Welcomes patients and families with a friendly demeanor, collecting necessary demographic and insurance information while ensuring compliance with HIPAA guidelines.
  • Patient Reminders: Responsible for sending reminders to patients a week in advance of their appointments.

Qualifications:
  • Education: High School diploma or equivalent.
  • Experience: Minimum of two years of experience in a medical secretary role.
  • Skills: Proficient in PC operation, capable of managing daily deadlines, and possessing excellent customer service skills.
  • Problem Solving: Ability to address issues within the scope of the role.

Physical Requirements:
  • Constantly (100%): Sitting, talking on the phone, typing.
  • Occasionally (0-33%): Standing, walking, reaching, bending.
