The Document Management Analyst I is tasked with delivering scanning support services and meticulously reviewing each incoming document package for processing to determine and assign the appropriate RIDS Code.

Key Responsibilities

  • Monitor and confirm the return of all physical documents provided to the contractor after processing has been finalized (including image processing, text processing, indexing, and distribution, if applicable).
  • Receive and manage all documents submitted electronically in accordance with established protocols.
  • Conduct routine maintenance and updates on scanning hardware and software applications.
  • Collaborate with technical staff to support scanning software applications.
  • Provide various levels of scanning services:
    • For basic scanning, digitize documents and send the scanned image (or its location) to the requester.
    • Normal scanning is conducted on paper documents received for standard processing.
    • For expedited scanning, digitize documents and send the scanned image (or its location) to the requester within a specified timeframe.
    • For complex scanning services, digitize sections of documents that include electronic components.
  • Create up to 5,000 scanned images from paper documents received each workday.
  • Process e-RIDS in accordance with contract specifications.
  • Code and file documents in a comprehensive alphabetical filing system.
  • Assist in publishing publicly accessible documents/packages to the agency's website.
  • Facilitate the publication of a minimum of 380 documents/packages to the agency's website daily, following established protocols.
  • Open and operate mail through metering machines, calculating and posting charges to departmental accounts.
  • Support additional projects involving scanning, copying, and/or printing various document types.
  • Perform other clerical tasks as assigned.
  • Undertake additional duties as required.

Qualifications

  • High school diploma or equivalent.
  • Preferred: Minimum one (1) year of experience in a production control operation or a similar role.
  • Preferred: Active Secret Clearance.

Knowledge, Skills, and Abilities

  • Ability to obtain a Secret Clearance.
  • Preferred: Experience with US Military or Federal Government.
  • Exceptional interpersonal and communication skills.
  • Strong customer service orientation.
  • Ability to follow both oral and written instructions.
  • Proficient in data entry and familiar with Microsoft Outlook, Word, Excel, and Acrobat.
  • Ability to lift and/or move up to 30 pounds.
