Job Summary

This role involves providing administrative support to technical, professional, and supervisory staff within a department or school site. The successful candidate will be responsible for processing and data entry, as well as providing information and assistance to faculty, staff, students, and parents.

Key Responsibilities
  • Act as a receptionist, responding to requests and inquiries, and assisting visitors with directions and information.
  • Operate standard office machines, including typewriters, photocopiers, duplicating machines, telephones, calculators, and computers.
  • Participate in the administration of an office, assisting in preparing comprehensive reports, and recommending improvements in workflow, procedures, and equipment usage.
  • Prepare reports, handbooks, and agendas.
  • Utilize positive human relation skills to interact with teachers, assistant principals, administrators, other staff, students, and parents in fulfilling requests for assistance.
  • Open, sort, and distribute incoming mail.
  • Perform special projects and assignments as requested, preparing reports, gathering, assembling, and summarizing information and data.
  • Assist in training and monitoring the work of temporary secretaries or student assistants, and may assist in providing training to clerical staff as appropriate.
  • Order, store, and issue supplies and materials, maintaining office supply inventory records.
  • Maintain copier maintenance and monitor staff usage.
  • Assist with the organization and implementation of procedures for the opening and closing of school for staff and students.
  • Create and maintain bulletin boards.
  • Respond to emergencies, such as bomb threats and lock downs.
  • Assist with safety audits.
  • Enroll and withdraw students.
  • Maintain all aspects of student files, including creating cumulative folders and Kardex, and updating annually.
  • Maintain all administrative and staff files.
  • Meet with new parents and students to begin registration and orientation process.
  • Place test labels on Kardex.
  • Issue work permits.
  • Process free/reduced lunch forms.
  • Print and send transcripts to requesting schools, businesses, programs, and individuals.
  • Cross-trained in financial procedures to serve as back-up.
  • Issue work Permits and Driver's Eligibility Certificates.
  • Ensure compliance with federal, state, local, and school system rules and regulations.
  • Assist students with minor injuries, dispense medications according to physician's directions, and call parents as needed.
  • Screen telephone callers, respond to complaints, and requests for information on regulations, procedures, and refer others to appropriate personnel.
  • Maintain a working knowledge of the Family Educational Rights and Privacy Act regulations and serve as school's point person for articulation and adherence to guidelines.
  • Distribute report cards and other quarterly reports.
  • May process payroll.
Requirements
  • High School Diploma or G.E.D. with Secretarial Coursework.
  • One year of related experience required.
  • Associate degree.
  • Secretarial experience in a school setting.
Knowledge, Skills, and Abilities
  • Ability to communicate clearly, concisely, verbally, and in written form.
  • Competence in utilizing software packages used by the school (Word, Excel, Access, and PowerPoint).
  • Ability to establish and maintain respectful and cooperative working relationships.
Physical Requirements
  • Skills requiring repetitive motor coordination with fingering/typing, crawling/kneeling, walking/sitting/standing, bending/stooping, grasping/twisting, and reaching.
  • Required to exert physical effort lifting/carrying, and pushing/pulling.
  • Occasionally climbing/balancing, rarely coming in contact with hazardous materials.
