Job Summary

The Construction Coordinator is responsible for providing exceptional customer service and ensuring seamless project execution. This role involves coordinating customer calls, monitoring project progress, tracking and validating project documentation, and maintaining effective communication with customers and clients.

Key Responsibilities
  • Assist with customer service and management of the customer experience
  • Monitor and ensure client requirements are followed
  • Coordinate scheduling of warranty activities and ensure all necessary information is accurate
  • Enter lead/jobs into the operating system and verify project information
  • Coordinate CM initial visits with customers and educate them on the process
  • Review and validate project file documentation
  • Confirm project scope of work with customers and clients
  • Maintain customer and client communications
  • Support CMs in ensuring customer and client agreement on scope and estimate
  • Ensure all paperwork is complete with customers and clients
  • Ensure estimates are distributed to all necessary parties
  • Interface with Subcontractors for availability and sign up new Subcontractors
  • Issue POs based on project budget and acquire proper permits as necessary
  • Schedule inspections with building departments and update budgets
  • Order materials and supplies as needed and update project schedule and timeline
  • Assist in identifying and qualifying resource providers
  • Validate completed PO documentation and update contract status with change orders
  • Maintain Work-in-Progress (WIP) report and internal and external communications
  • Prepare project reports and review file documentation upon project completion
  • Manage collections activities and perform project close-out
Requirements
  • High school diploma/GED
  • Associate or bachelors degree preferred
  • A minimum two years of business experience
  • Working knowledge of current business software technologies
  • Superb customer service, administrative, and verbal and written communication skills
  • Intermediate math skills
  • Experience in the restoration and/or construction industry preferred
