Case Coordinator

City of New York is seeking a highly skilled Case Coordinator to join our team. As a Case Coordinator, you will perform specialized administrative work relating to managing incoming requests for charges, processing of statistical reports, and ensuring case information in The Employee Accountability Management System (TEAMS) database is correct.
Key Responsibilities
- Address telephone and email inquiries, coordinate and provide information to the various unions and Responsibility Centers concerning the status of disciplinary cases.
- Create, scan, and upload cases/documents into TEAMS when ODA receives new requests for disciplinary action.
- Schedule meetings for the Director, respond to various telephone inquiries for information on employees' disciplinary record or case-status; direct calls to the appropriate parties.
- Responsible for assigning dates for Step I Hearings when requested by the Employment Law Division; provide the union and the reception area with the dates and times for upcoming Step I Hearings.
- Responsible for inputting data that did not migrate from the previous disciplinary database to the TEAMS database; maintain, track and update TEAMS database information in a timely and accurate manner.
- Provide case file to the Director/Assistant Director for assignment to staff or when a case needs to be fully reviewed.
- Review case folders before closing cases to ensure that all of the relevant documents are in the case file; generate and review computer reports to ensure complete and accurate information has been imputed prior to closing cases.
- Review the information in TEAMS for cases to ensure that all of the relevant fields and documents have been entered into the database and that the cases are in the correct status.
- Open case in TEAMS that are sent to ODA for penalty implementation.
- Collect and analyze statistical data to produce monthly summary reports summarizing the status of cases.
- Maintain the schedule of the Implementation Officers for employees scheduled for suspension or terminations; monitor the status of work assignments of Implementation staff, Hearing Officers, and Disciplinary Coordinator to ensure compliance for persecuted.
- Maintain and update monthly performance indicator reports.
- Collect and compile employee discipline information, statistics, and other data to respond to inquiries, memorandums, and other requests.
- Assist Hearing Officers in preparing and sending the penalty recommendations to employees.
- Assist the Disciplinary Technical Associate with the preparation of packages for training session, schedule disciplinary training.
Qualifications
- A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
- An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
- A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above; or
- Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above.
