1.0 OBJECTIVE

The primary aim is to support the achievement of PMO goals by organizing, assessing activities, coordinating timelines, managing change requests, and maintaining financial sheets for all active projects, along with various PMO responsibilities. This role involves daily coordination of PMO objectives, progress tracking, and metrics to ensure that projects align with both customer and organizational standards. Collaboration with Project Managers, Inventory and Resource Analysts, Warehouse Management, and the AV/PC Team is essential to ensure that resources and inventory for each project are properly managed and scheduled.

2.0 RESPONSIBILITIES

· Evaluate ongoing projects/service requests and collaborate with the Project Manager and AV/PC Team to schedule tasks according to FIFO and/or client expectations.

· Once tasks are scheduled, liaise with the warehouse team to coordinate inventory requirements and delivery timelines.

· Track the status of projects daily and provide progress updates as necessary. Work alongside the Project Manager and AV/PC Team to ensure projects remain on schedule and within budget. Regularly review and update all active documents (i.e., Google Docs, SmartSheets, emails, etc.) accessible to Delcom management, Project Managers, and clients.

· Oversee Travel & Expense requests for out-of-town assignments.

· Maintain vehicle inspection schedules and inventory needs.

· Monitor inventory usage at each project site and collaborate with the warehouse team to request additional supplies as necessary. Any inventory discrepancies should be communicated and resolved promptly.

· As a key member of our project team, Project Coordinators are expected to work closely with the Project Manager, warehouse management, and AV/PC Team to uphold all company policies and procedures.

· Effectively communicate the scope of work, project expectations, and progress updates to Delcom management, AV and PC teams, and our clients.

· Document and track Key Performance Indicators (KPIs) for weekly review with Project Managers.

· Proactively assist in resolving issues as they arise and identify solutions that keep the team aligned with project timelines and budgets.

· Conduct audits as necessary to ensure projects are completed in accordance with the scope of work and meet client expectations.

· Draft and review Project Closeout documents with the PMO. Once approved, relay project closeout information to the client.

· Collaborate with the PMO, Inventory and Resource Analysts, and warehouse to receive, authorize, restock, ship, and follow up on returns.

· Assist with client sign-offs and quality assurance checks.

· Additional duties as assigned.
