Job Description

Lumos & Associates is seeking a highly skilled Senior Proposal Coordinator to spearhead the creation of high-quality proposals that showcase our firm's strengths and secure new business opportunities.

The ideal candidate will possess excellent writing skills, attention to detail, and the ability to manage complex proposal development projects.

  • Key Responsibilities:
  • Participate in the proposal process from start to finish.
  • Maintain a proposal library and resource management system.
  • Coordinate the development of complex proposals, including RFP, RFQ, and RFI responses.
  • Implement proposal strategies and processes to ensure efficiency and quality.
  • Oversee proposal content development, ensuring clarity, consistency, and compliance with client requirements.
  • Follow proposal schedules and deadlines to meet submission requirements.
  • Conduct thorough proposal reviews and quality assurance checks.
  • Collaborate with subject matter experts and other stakeholders to gather and develop proposal content.
  • Participate in proposal kickoff meetings and team collaboration sessions.
  • Provide support to proposal teams throughout the development process.
  • Partner with seller-doers to customize proposal content to address specific client challenges and opportunities.
  • Build strong relationships with internal stakeholders.
  • Write non-technical text and edit/proofread documents.
  • Manage concurrent proposals and activities, including assembling teams, scheduling milestone review meetings, and producing final submittals.
  • Evaluate content to ensure RFP requirements and evaluation criteria are met and the proposal is compliant.
  • Track amendments and clarifications to ensure the final proposal incorporates all required information.
  • Ensure quality and schedule performance of proposal efforts.
  • Work with the proposal team to deconstruct proposal contents and capture the material in the firm's database upon submission.

Requirements:

  • Bachelor's degree in Marketing, Communications, or Technical Writing.
  • A minimum of five years of proven proposal/marketing coordination experience in the architecture, engineering, and/or construction (AEC) industry.
  • Proficiency in Adobe Creative Suite (InDesign, Photoshop, Illustrator) is required. Proficient with content management systems (CMS) or client relationship management (CRM) tools.
  • Demonstrated ability to manage complex proposal development projects.
  • Excellent written and verbal communication abilities.
  • Strong organizational and time management skills with keen attention to detail and ability to meet deadlines.
  • Capability to work effectively under pressure and meet tight deadlines.
  • Strong interpersonal skills and the ability to work well in a team environment.
  • Flexibility to adapt to changing priorities and work environments.
  • Valid driver's license and driving record with 3 or less demerit points.
