Position Title: Customer Service Coordinator

Key Responsibilities:

  • Review and manage backlog reports for overdue and current orders.
  • Supervise updates on customer status and production schedules.
  • Facilitate communication regarding customer adjustments and priority orders.
  • Maintain and update order entries in the scheduling system.
  • Document minutes from production meetings.
  • Participate in daily production meetings.
  • Process returned products and manage credit requests.
  • Track deliveries and provide updates to customers as necessary.
  • Conduct reviews of customer volume and communication.

Weekly Duties:

  • Coordinate weekend receiving requests on Thursdays.
  • Attend meetings to review weekend commitments.

Ongoing Tasks:

  • Monitor customer service emails during designated times.
  • Ensure timely responses to incoming emails.
  • Oversee all customer interactions to maintain information balance.
  • Create and manage the customer service schedule for weekdays and weekends.
  • Ensure all priority items are included in production meetings, reminding team members as needed.
  • Address failed orders and ensure they are processed in the system.
  • Calculate and verify customer quotes.
  • Handle requests for holiday hours from customers.
  • Maintain relevant procedures and documentation for the department.
  • Issue notifications for any delays beyond specified hours.
  • Communicate updates regarding trials, new products, and customer orders requiring testing.

Physical Requirements:

  • Ability to lift items weighing up to 20 lbs.
  • Capability to sit or stand for extended periods, up to 8 hours daily.

Educational Background:

  • College Degree
  • Graduate Degree
  • Vocational Training
  • Apprenticeship Experience
  • Other Relevant Education
