Executive Assistant/Office Manager at Early-stage Venture Firm

Early-stage venture firm investing in visionary entrepreneurs developing transformative tech is looking for an Executive Assistant/Office Manager to join their team. This is a great opportunity to grow alongside the firm as it scales Support the three General Partners and two Investment Professionals with calendar coordination and scheduling, booking travel, and ad hoc administrative tasks while also managing their office space, overseeing vendors, and organizing events and dinners. Someone who is extremely detail-oriented and organized with a positive attitude and is excited to work in venture. This is a hybrid role, Monday through Thursday in-office based in Palo Alto. 120-135K+ DOE + 100% benefits for employees & dependents, bonus eligibility, and generous PTO

Responsibilities:

  • Schedule meetings and maintain calendars on behalf of General Partners and Investment Professionals.
  • Arrange travel (domestic and international) and expense reports.
  • Oversee office operations. Keeping the office running smoothly and efficiently, ensuring the team is supported and supplies are stocked.
  • Welcoming guests into the space, bringing them to appropriate offices.
  • Plan and organize dinners and events surrounding conferences. Partnering with vendors and restaurants, and coordinating with external parties.
  • Manage relationships with outsourced IT providers. Troubleshoot and problem-solve when issues arise.
  • Perform other duties as assigned to support the business functions of the Firm.


Qualifications:
  • Previous experience as an Executive Assistant, Office Manager, or similar role.
  • Ability to work independently as well as work with colleagues internally.
  • Strong verbal communication, organization, and writing skills.
  • High attention to detail and strong organizational skills.
  • Resourceful and creative problem-solving skills.
  • Ability to maintain strict confidentiality.
  • Venture capital and/or financial service experience is a plus
