What you will be doing:
- Develop and implement document management policies and procedures to ensure efficient document storage, retrieval, and security.
- Organize and categorize documents according to predefined classification systems.
- Maintain electronic and physical document repositories, ensuring proper indexing and version control.
- Collaborate with cross-functional teams to establish document management best practices and standards.
- Train staff on document management protocols and systems, providing ongoing support and guidance.
- Conduct regular audits to ensure compliance with document management policies and regulatory requirements.
- Troubleshoot and resolve document management issues, escalating as necessary.
- Continuously evaluate and recommend improvements to document management processes and systems.
- Coordinate the archiving and disposal of obsolete documents in accordance with retention schedules.
- Analyze business processes and workflows to identify opportunities for optimization and automation.
- Stay updated on industry trends and advancements in document management technology.
- Perform other duties, as assigned.
What you already have:
Education, Experience, and Licensing:
- Bachelor's degree in computer science, engineering, or related field or High School diploma and equivalent relevant work experience required.
- 3+ years of experience in document management or records management role.
- 2+ years of experience in document management systems like Hyland OnBase and forms automation tools like SmartComm required.
- Experience in the Personal Property Insurance industry preferred.
Qualifications/Skills and Competencies:
- Strong understanding of document management principles, best practices, and industry standards.
- Strong analytical, organizational, and communication skills.
- Proven ability to be adaptable and flexible; able to adjust to new requirements or unforeseen issues.
- Excellent interpersonal skills with a focus on excellent customer service.
- Strong planning and organizational skills.
- Exceptional time management skills with ability to prioritize tasks and allocate resources efficiently.
- Strong written and verbal communication skills with the ability to professionally interact with team members in other departments.
- Proficient in MSO/365 applications such as Microsoft Teams, SharePoint, Word, Excel, PowerPoint, and Outlook.
