Job Description: Office Coordinator
Are you a multitasking maestro with a knack for keeping things running smoothly? We're on the lookout for an Office Coordinator to join our team and become the heartbeat of our office operations.
Responsibilities:
Administrative Wizardry: Manage day-to-day administrative tasks with finesse, including answering calls, responding to emails, and maintaining office supplies.
Maintain client records, including personal information, medical history, and billing details, in compliance with privacy regulations.
Process payments, issue invoices, and manage client billing inquiries.
Master of Organization: Keep our office space in shipshape, ensuring everything has its place and maintaining a tidy and welcoming environment.
Communication Extraordinaire: Serve as the primary point of contact for internal and external communications, effectively conveying messages and maintaining professional client relationships.
Greet clients with a positive attitude and a smile both in-person and on the phone.
Answer client inquiries regarding services, appointments, pricing, and general cat care.
Effectively communicate clinic policies, policies, and services.
Handle client complaints with empathy and the utmost professionalism.
Be able to communicate clearly and with confidence without getting defensive.
Provide basic information on pet care, nutrition, and preventative healthcare to clients
Process payments, issue invoices, and manage client billing inquiries.
Educate clients about clinic services.
Follow up with clients after appointments to ensure satisfaction and address any additional concerns
Scheduler Supreme: Coordinate appointments and meetings like a pro, ensuring everything runs like clockwork.
Coordinate urgent or emergent appointment scheduling with veterinary staff.
Manage clinic's appointment calendar, ensuring accuracy and completeness.
Problem-Solving Prodigy: Tackle unexpected challenges with ease, using your resourcefulness to find solutions and keep operations running smoothly.
Collaborate with staff to enure seamless coordination with client care.
Communicate effectively with veterinarians and support staff to relay client information and facilitate client care.
Participate or conduct staff meetings and training sessions to enhance teamwork and service quality.

With hours of 8:30 AM - 5 PM Monday through Friday, and 4 weeks paid vacation we understand that ample time off makes us all better at work and overall.
Qualifications:
Excellent organizational skills with meticulous attention to detail, with the ability to multitask and prioritize tasks quickly.
3 to 5 years minimum experience as a client care coordinator, office manager in the veterinary field is a MUST.
Strong communication skills, both written and verbal.
Proficiency in basic computer skills, Microsoft Office Suite, Cornerstone and other office software.
Ability to thrive in a fast-paced environment and adapt to changing priorities.
Previous experience in an administrative or office support role is preferred.
A very strong compassion for cats and their owners with a genuine interest in providing exceptional client services.
