Salary Range:                           $26.00 - 29.00/ Hour

Position Description: The Administrative Assistant/Medical Records Technician provides general office support to management and staff of the program and oversees the program's medical records, involving their upkeep, organization, and handling of both physical and electronic health records (EHR). Responsibilities encompass various tasks such as data processing, compilation, report generation, data analysis, and managing information release. The role requires adherence to the ethical, legal, and regulatory standards of mental healthcare systems, alongside administrative protocols. Strong independent work ethic and proficient verbal and written communication skills are essential for effective interaction within the role.

Essential Duties & Responsibilities:

  • Assists in the development of and compliance with the policies and procedures to ensure that medical records are complete and processed according to governmental regulations and standard professional and medical record keeping practices.
  • Monitors and tracks compliance with legal documents and correspondence.
  • Prepares and processes clinical records of clients who are admitted/discharged in the MHRC.
  • Audits clinical records for completeness and adherence to standards.
  • Ensures that data is collected accurately and on time.
  • Generates reports to confirm accuracy of data and makes corrections per program and county requirements.
  • Interfaces with Program and County staff and confirms accuracy of all system data and ensures procedures are completed per established requirements.
  • Ensure that various administrative tasks are completed in an effective and efficient manner. File management responsibilities include handling confidential and otherwise sensitive company documents.
  • Assist with monthly operations reports.
  • Develop and maintain a system that alerts to upcoming deadlines on incoming requests or events.
  • Participate in promoting a safe, healthy, and clean working environment at all times. consistent with applicable laws, industry standards and the agency’s own Health & Safety Program.
  • Actively nurture and advance the cooperative, harmonious, and teamwork-oriented environment Caminar strives to promote within the workplace; Through daily efforts and presentation promote an atmosphere of dignity and respect in line with the organization’s mission, philosophy, policies and procedures.
  • Perform other related duties, responsibilities and special projects as assigned.

Additional Duties:

  • Auditing/Correcting EH/HH Data Entries, and Compliance with Service Plans, both Credible and Avatar entries.
  • Assist EH/HH with prep for all audits for DHCS, CARF, Medi-Cal.
  • Compiles/Submits Client Documentation for EH/HH/RH Records Requests for i.e., SSA, SMC Subpoenas for Medical Records, as needed.
  • Assist in review of closed charts for needed documentation for grievances, court appearances, as needed or compile/review notes in Credible to gather documentation to support responses for client grievances and court appearances.
  • Ensure that all client Medi-Cal records are properly maintained, stored, and always kept confidential.

Requirements, Qualifications, Skills & Abilities:

  • Must be passionate about Caminar's mission.
  • One (1) year of EHR or healthcare information system experience in a psychiatric inpatient or outpatient program or acute hospital setting.
  • Completion of an approved Health Information/Medical Record Certificate Program.
  • Knowledge and application of appropriate coding systems; ICD-10 CM, DSMV.
  • Knowledge of documentation and legal issues pertaining to HIPAA, PHI, and other health information.
  • Knowledge Preferred in Avatar/Credible EHR systems.
  • Excellent computer skills in a Microsoft Windows environment including email and Internet navigation required.
  • Ability to maintain a high level of confidentiality, a professional demeanor and to always represent the organization in a positive manner.
