About the Role

As our Executive Assistant, Corporate Governance, you'll play a crucial role in the smooth operation of our Board of Governors and its committees. You'll be at the heart of board coordination, managing all aspects of meetings from scheduling and venue arrangements to document preparation and communication with board members. This dynamic role is perfect for a proactive, organized, and highly professional individual who can balance the demands of a fast-paced environment while handling sensitive and confidential information with absolute discretion.

This position will be based in Charlottesville, with hybrid working possibilities. Successful candidates should be based within commutable distance to the Charlottesville office.

Key Responsibilities

  • Board & Committee Coordination: Organize and manage all board and committee meetings, including scheduling, venue setup, catering, and technology needs.
  • Document Preparation: Prepare, distribute, and manage all board materials-including agendas, minutes, reports, and presentations-to ensure timely, accurate information is provided for all meetings.
  • Stakeholder Communication: Serve as the central communication link between board members, executives, and external stakeholders, ensuring effective information flow and timely follow-ups.
  • Compliance & Records: Maintain accurate records of board proceedings and decisions and ensure that all board actions comply with governance standards and company policies.
  • Event Planning: Organize board-related events such as annual retreats and strategy sessions, managing every detail to support a seamless experience.
  • Onboarding Support: Assist in the onboarding of new board members, providing the resources and training they need to understand their roles and responsibilities.
What We're Looking For
  • Educational and experience: Bachelor's Degree or equivalent experience with 5+ years in a professional office environment with senior leadership, C suite and/ or board interaction.
  • Technical Skills: Strong MS Office Suite skills, and ability to quickly learn web-based tools (e.g., Diligent, Cvent, Concur).
  • Attention to Detail: A meticulous approach to managing documents, schedules, and action items.
  • Critical Thinker: Ability to ask insightful questions and provide thoughtful solutions, not just follow instructions.
  • Communication & Interpersonal Skills: Outstanding verbal, listening, and written communication abilities, with the ability to work effectively across teams and levels.
  • Professionalism: Comfortable handling highly confidential matters with discretion and calm, even in high-pressure situations.
