Homeowners Association Administrator

Administrative support for department/managers.

Responsibilities
  • Provide administrative support of land development and association of management team
  • Establish and maintain files for all contracts/vendors and all development projects
  • Issue IPOs based on proposals form vendors
  • Enter and track land contracts in JD Edwards
  • Process invoices for payment and charge against contract in JD Edwards
  • Ensure vendor compliance with insurance requirements
  • Set up new vendors and ensure compliance with all company requirements
  • Assist in creation of all documentation required to form the corporations and declarations necessary to the associations
  • Request association be incorporated and request FEI Number be assigned through association counsel
  • Assist in creating the necessary sales forms to be used in Siebel
  • Assist in the review of all said documents to ensure they meet the requirements of Lennar, The State of Florida and the respective community
  • Package all required documentation after review and send to appropriate counsel to submit to the State of Florida for approval
  • Acquires the required documentation to prepare an amendment to the documents adding condominium building as they are completed
  • Provide information to legal counsel and engineers in order to have amendments prepared for community documents on an going basis to meet the changing needs of a community
  • Distributes recorded documents to the appropriate parties on a timely basis to ensure required compliance
  • Acquire necessary documentation required to ensure projects are submitted timely for lending requirements
  • Receive and assist in review of all subsidy requested made by management companies to ensure that only authorized expenditures are being processed
  • Assist in review of all budgets submitted by management companies for the designated associations
  • Determine the insurance requirements for the associate - i.e. property, liability, bonding, D&O. Obtain quotes for the required coverage
  • Acquire the appropriate policies and request endorsements to those policies to provide adequate coverage as the needs arise
  • Track closings for the communities to ensure that all information is consistent between Lennar and the management company
  • Prepare and gather information for developer transitions of associations
Qualifications
  • Minimum 4 years experience in administration
  • Minimum 2 years in homebuilding related experience
  • Excellent written, oral, organizational and math skills
  • Must possess professional attitude to represent the company in a positive manner
  • Proficient in Word and Excel

General Overview of Compensation & Benefits:
We reasonably expect the base compensation offered for this position to range from an hourly rate of $23.30 - $35, subject to adjustment based on business-related factors such as employee qualifications, geographic pay differentials (e.g., cost of labor/living, etc.), and operational considerations.
