Document Control Specialist

The position of Document Control Specialist is responsible for managing company documents while also ensuring their accuracy, quality and integrity. The position is also responsible for the establishing, development, coordination, maintenance and improvement of the established controlled document system in a manner consistent with ISO 9001 Standards for a engineering and manufacturing environment.

Job Requirements:

  • High school diploma/GED or equivalent education and experience, or associate degree
  • Ability to organize, prioritize, manage time well, multitask and troubleshoot
  • Proficient in MS Office, SAP, PDM, document control software, ISO policies and procedures, or any other company related programs and applications
  • Must be self-directed, work independently, and highly-motivated
  • Strong interpersonal and communication skills
  • Ability to work in a fast-paced, deadline driven environment with multiple priorities
  • Detail-oriented, Dependable, and Accurate.
Additional responsibilities include:
  • Controls subject matter during audits.
  • Assist Engineering and other departments in reviewing and processing document changes.
  • Establish process for controlling engineering document revisions for standard parts
  • Establish processes for manufacturing steps on the manufacturing floor
  • Control the documents for the processes on the manufacturing floor
  • Gate keep the ISO 9001 required documents for process and engineering.
Primary Job Responsibilities
  • Manage and track company documents for the latest revision level or initial release
  • Scan, image, organize and maintain documents, adhering to the company's document lifecycle procedures
  • Archive inactive records in accordance with the records retention schedule
  • Manage and control the retrieval of documents
  • Receive and process requests for information, or RFIs
  • Assist project managers to develop and maintain documents such as meeting minutes, drawings, specifications, approvals and related items
  • Train other employees on record procedures and policies, which include documentation, retention, retrieval, and removal of obsolete documents as needed
  • Provide assistance with file migrations and audits
  • Regular adherence to performance of applicable procedures in the Quality Management Systems (QMS), Environmental Management (EMS), and Occupational Health & Safety standards (OHSAS); ensuring processes remain sustainable, suitable and effective in relation to position
  • Continuous assessment of opportunities for improvement and any needed changes to management systems
