Responsibilities Position Overview: The Research Administrator and Grant Writer is responsible for 1) facilitating academic and research planning processes in an effective and timely manner 2) planning and overseeing selected research projects generated from the departmental faculty and residents 3) investigating and identifying extramural funding opportunities aligned with faculty and departmental research objectives and 4) writing and submitting grant proposals to help support departmental faculty. With supervision, this position will work collaboratively with numerous stakeholders across the department, including the Vice Chairs, Residency Director, Clinical research, and clinical operations. The position¿s purpose is to strengthen the departments academic portfolio as well as amplify project management and grant funding efforts focused on urologic research both basic and translational. This position¿s scope includes all departmental faculty as well as collaborating faculty across the medical centers research ecosystem, encompassing patient care, research and education. The department¿ major priorities include, but are not limited to, caring for vulnerable patient populations, supporting a diverse and inclusion culture, enhancing quality and safety, strengthening the continuum of care as well as developing innovative education pathways and support for tomorrow¿s clinicians and scientists. Reporting to Program Administrator for the Department of Urology, this role requires an understanding of the department¿s priorities, attention to detail and timelines, excellent communication skills and clear and compelling writing skills. Responsibilities: Under general direction and with latitude for exercise of independent judgment: Grant Research and Writing (25%) In collaboration with existing internal resources, identify potential funding opportunities aligned with URMC priorities. Explore potential opportunities further by using internal resources as appropriate- i.e. engaging with funding sources and through information sessions such as RFP webinars. Write high-quality grant proposal narratives, applications, budgets and supporting documents. Work with relevant internal teams to develop content, data and analyses for each submission. Coordinate with central business units to ensure realistic proposal outcomes and benchmarks. Connect with internal resources to obtain relevant letters of support. Grant Submission (2%) Manage the proposal submission process to ensure timely submission of all required materials. With internal resources, coordinate any needed follow-up on submitted proposals. Repurpose rejected submissions as appropriate. Participate in UR internal CLASP certification process as needed Project Management (20%) Determine and define project scope and objectives Develop project budget and manage resources in an effective and efficient manner to reach objectives. Develop and manage a detailed project schedule and work plan Provide project updates on a consistent basis to various stakeholders about strategy, adjustments, and progress Project Management Continuous Improvement (10%) Monitor progress and adjust as needed Measure project performance to identify areas for process improvements to be applied to future projects. Upon identification of areas of improvement, take actions to implement changes. Facilitation and Analysis (10%) Convene and facilitate interprofessional groups to develop compelling, realistic strategic plans across Departmental mission areas including patient care, educations, & research Develop and monitor implementation plans and timelines Monitor plan implementation and progress Conduct and present research and data analysis to department leadership, including Vice Chairs, Departmental Chair, and Departmental Administration Research Administration (10%) Collaborate with the departmental finance team on pre-award grant administration to ensure timely delivery and submissions of pertinent information for grant submissions Work closely with ORPA liaison to ensure compliance with university polices and procedures related to research project administration Perform other duties as assigned (5%) Minimum Qualifications: Bachelor's degree and 5 years relevant experience including at least 2 years at a managerial level; or equivalent combination of education and experience. Master's degree, equivalent course work, or specialized experience in an appropriate field related to the assignment is desirable. Project Management Certification is valued. Experience in healthcare or academia is highly desirable. Preferred Qualifications: Experience in facilitating strategic planning frameworks and processes CLASP Certified Able to effectively communicate with multiple stakeholders Proven ability to complete projects according to outlined scope, budget, and timeline Detail-oriented, organized and deadline-driven Demonstrated ability to write successful grant proposals Clear, precise and compelling writing skills Ability to work and communicate effectively in a large matrix organization Strong familiarity with planning and project management software tools, methodologies, and best practices High proficiency in Microsoft Office including Excel and PowerPoint.
