JOB SUMMARY

The Administrative Assistant reports to the Program Director and is responsible for assisting with organizational tasks related to day-to-day operations and program development of the department as assigned by the Program Director.

ESSENTIAL JOB RESPONSIBILITIES

  1. Coordinate office (building) and equipment maintenance.
  2. Employees shall follow the reporting requirements for incidents of Child Abuse, Elder Abuse, Adult Abuse, Dependent Adult Abuse, and Tarasoff warnings per California reporting laws.
  3. Supervise program personnel and address personnel issues; act as the contact person between program personnel and the Turning Point corporate office / Human Resources.
  4. Participate in orientation of newly hired personnel.
  5. Assist with initial troubleshooting of software and hardware issues with and for program staff. Will interface with Information Technology (IT) Team to resolve computer issues.
  6. Assess training needs; develop and conduct training of personnel in various programs as needed.
  7. Oversee maintenance of medical records, administrative, program, and personnel files.
  8. Prepare and maintain a supply of all forms necessary to the program.
  9. Answer telephone and serve as receptionist as assigned.
  10. Maintain patient billings files and clinic fiscal reports as required by the Program Director.
  11. Maintain and input into various computer network systems information necessary to the program's functioning.
  12. Oversee and maintain the development of and monitoring of systems for client fee collections including Medi-Cal billing, cash receivables, and umdap
  13. Data entry of clinical information into County or administrative computer systems. Verify County Medi-Cal billings for accuracy.
  14. Gathers and/or input data from various sources for monthly program reports.
  15. Develop improved monitoring and reporting systems.
  16. Will interface with the public in Outreach Events
  17. Will interface with community partners and funding agency staff, e.g., Electronic Health Records (EHR) Team, Billing, etc., as required.
  18. Process invoices and prepare as accounts payable.
  19. Manage petty cash account if needed.
  20. May assist in monitoring accounts receivable/payable.
  21. Maintain program operations manuals and protocols.
  22. Monitor and implement new policies and procedures as assigned.
  23. Maintain inventory of necessary supplies including obtaining bids and preparing purchase requests.
  24. Communicate effectively with a wide variety of people of various educational and socioeconomic backgrounds.
  25. Write clearly, accurately, and concisely to convey ideas in grammatically correct reports, letters, memos and questionnaires.
  26. Organize work and set priorities to meet established deadlines.
  27. Will drive on agency business as needed.
  28. Physical presence at the worksite is required.

ESSENTIAL JOB REQUIREMENTS

  1. Education/Experience sufficient to demonstrate competency in the knowledge and skills specified. This may be obtained by experience or completion of two (2) or more years of college with a major in public or business administration, economics or a related area. High School Diploma/GED required. AA degree preferred.
  2. Demonstrate ability to handle multiple priorities in an organized and efficient manner.
  3. Work with a variety of programs and directors.
  4. Recognize various program goals and objectives and work with different directors to plan and implement strategies to achieve goals/objectives.
  5. Recognize existing and potential problems in various programs and to determine and implement solutions.
  6. Organize, prioritize work and function somewhat independently.
  7. Independently perform routine studies and do periodic reviews and reports.
  8. Perform basic math functions sufficient to compute fractions, decimals, and percentages; simple statistical methods and record keeping methods.
  9. Assisting with training support staff.
  10. Travel to various program sites as required.
  11. Communicate effectively in written and spoken English and Spanish.
  12. Intermediate computer skills in Microsoft Word, Excel, Outlook and PowerPoint, Office 365, Teams, Zoom and other communication/meeting platforms.
  13. Possess a valid driver's license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
  14. Ability to pass a criminal background check.
  15. Ability to pass a pre-employment drug screen and TB test.

ESSENTIAL JOB REQUIREMENTS FOR BILINGUAL SKILL

  1. Communicate effectively in written and spoken Spanish.
  2. Required ability to communicate effectively with monolingual Spanish speaking clients and families for all clinical purposes.
  3. Assist with phone calls for Spanish clients.
  4. Required to provide language translations for case managers and Physicians on a periodic basis.
  5. Other translation tasks as required.
