Safeguard Transportation Agent

The Safeguard Transportation Agent is responsible for the safe transportation of individuals and handling various safeguard and transportation-related tasks. This role includes coordinating with multiple agencies and overseeing administrative functions related to vessel calls managed by the port office. The agent plays a key role in ensuring the efficient and secure operation of transportation services while maintaining high standards of customer service and compliance with regulations.
Specific Essential Job Duties:
- Boards vessels daily in port to facilitate and oversee transportation activities.
- Assists with planning and assigning the weekly vessel rotation, managing billing procedures, and following up on pro forma requests.
- Procures and coordinates outside services for assigned marine vessels, ensuring high-quality vendor management and cost control.
- Ensures that all necessary documentation for vessel arrivals and departures is prepared in a timely manner, including regular trips to U.S. Immigration Control and U.S. Customs.
- Provides on call safeguarding and transportation services for personnel and crews in assigned port office locations.
- Plans driving routes in advance for efficiency and monitors traffic and weather conditions to ensure expedient travel.
- Maintains organized files and ensures that documentation is prepared accurately and on time.
- Makes required trips to terminals, airports, hotels, United States Immigration Control, and U.S. Customs office to ensure all necessary documentation is ready for arrivals and departures.
- Abides by all federal, state, and local laws, including all transportation rules, guidelines, and safety regulations.
- Provides detailed reports on daily activities and any incidents that may have occurred to management.
- Communicates effectively with principals, customers, vessel masters, Port Authority, terminals, and government agencies to ensure smooth operations.
- Abides by company HSEQ Policies & Procedures.
- All other duties as assigned.

- High school diploma or GED required.
- Valid driver's license and acceptable driving record required.
- Valid security license required.
- Transportation Workers Identification Card (TWIC) is highly preferred and must be obtained upon acceptance of the position or within 30 days of hire.
- A minimum of three to five (3-5) years as a transportation provider preferred.
- Previous security and safeguarding experience required.
- Previous experience in the maritime agency industry helpful but not required.
- Ability to travel between sites as needed.
- Verifiable excellent customer service skills.
- Strong communication skills, with groups and in individual interactions to solve problems.
- Excellent knowledge of security protocols.
- Ability to react appropriately in stressful situations.
- Must be able to lift 50 pounds.
- Must have reliable transportation.
- Must be available to work a flexible schedule based on business needs, including days, nights, weekends, and some holidays with travel to and from the marine vessel while in Port.

This position requires the ability to sit comfortably for extended periods of time both during a trip and on standby awaiting passengers. Additionally, there will be some bending/stooping, lifting, walking, standing, and carrying of transport items such as luggage, clothing, boxes, and personal effects of the passengers up to 50 pounds. This position works outside in both hot and cold temperatures as well as in a general office setting. The duties performed in this position may expose the employee to odors, dust, dirt, mechanical hazards, high noise levels and potentially hazardous equipment.
On-hire times can vary greatly and are dependent on several external factors including the arrival and departure of vessels, airplanes, and ferries, therefore the employee will need to be able to maintain a flexible schedule to accommodate passenger needs and demand. This can include early morning and late evening requirements. Long hours, ability to travel, weekend duties and 24-hour "on-call" status are essential job requirements. Must comply with all work rules, including those that pertain to safety and health. The employee will be required to make numerous trips to various locations, handle any issues relevant to the efficient arrival and departure of passengers.
