Job Summary:
The Time Administrator ensures accurate and compliant timekeeping and absence management by auditing timeclock punches, overtime, and colleague hours. Responsibilities include monitoring PTO, paid holidays, and other absences, as well as maintaining HRIS functionality and ensuring accurate time calculations. The role also involves generating reports, supporting colleagues and managers, and collaborating with HR and IT teams.
Key Responsibilities:
Time and Attendance Management:
- Oversee the creation, implementation, and maintenance of time and absence tracking processes.
- Ensure timekeeping practices align with organizational policies and labor laws.
- Work closely with HR and Payroll teams to resolve timekeeping issues and support time-related inquiries.
- Review and analyze timeclock punches, overtime hours, and hours worked for accuracy, compliance and adherence to relevant company policies (e.g. full-time hours vs part-time hours, etc.).
- Investigate and address discrepancies related to time worked, missed punches, and overtime.
- Analyze overtime trends to identify cost savings or process improvements.
- Ensure accurate processing of overtime pay and proper documentation.
- Facilitate repayment agreements for overpayments and manage the stop payment process for reissued checks.
- Track retroactive and backpay, coordinating with payroll to ensure accurate payment.
- Audit timecards weekly to ensure departmental approvals are obtained in accordance with payroll deadlines.
- Communicate with department leaders regarding payroll deadline adjustments due to bank holidays.
- Support leaders with audits of planned versus actual labor hours.
- Monitor and verify PTO and other absence time accrual and use, ensuring adherence to company policies.
- Verify appropriate holiday pay and review requests for discretionary time and other special leave.
- Address discrepancies related to PTO balances, holiday pay, and other absences.
- Assist in configuring and customizing the HRIS to meet organizational needs and improve efficiency.
- Perform regular audits and updates of the HRIS time and absence modules, including guaranteed hours and time calculations.
- Act as the champion for the scheduling system.
- Create and distribute regular and ad-hoc reports related to time and attendance.
- Analyze data to provide insights, identify trends, and recommend process improvements.
- Support the HR team with compliance audits and time-related analyses.
- Provide guidance to colleagues and managers regarding timekeeping procedures and HRIS functionality.
- Assist in developing and delivering training materials for time and absence management.
- Serve as the primary contact for management on time-related questions.
- High School Diploma or equivalent.
- Previous experience with timekeeping systems and HRIS, preferably in an administrative or auditing capacity.
- Strong understanding of time and attendance processes, payroll, and labor laws.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with HRIS software.
- Excellent analytical skills with a keen attention to detail.
- Strong communication skills and the ability to work collaboratively with various departments.
- Ability to handle sensitive and confidential information with discretion.
- Associate's degree or higher preferred.
- Previous experience in one or more areas of Human Resources (i.e. Payroll, HRIT, Benefits) preferred.
- Office environment.
