Medical Administrative Assistant

One Full-time Position. 32 to 40 hours per week.

Monday through Friday, 8:00 AM to 4:00 PM.

Hiring range: $16.20 - $17.66 / hr., depending upon education and experience.

Minimum Requirements

Required:

• High School Diploma or GED,

• At least one year of administrative experience.

• One year experience with Intellectual/Developmentally Disable population.

Preferred:

• One years' experience in a medical setting

• Associates Degree or higher in health or behavioral sciences.

Position Summary

The Medical Administrative Assistant is responsible for assisting with coordination of medical services for

people receiving services. The Medical Administrative Assistant will work with the Registered Nurse (RN), case managers, coaches,

providers, and caregivers to provide information regarding medication administration training, dispensing medication reminder boxes (MRBs), medication changes, and assisting with obtaining annual orders.

Essential Duties and Responsibilities

1. A Medical Administrative Assistant will be supervised by, and report to, the RN.

2. Review and track annual orders, lab orders, and request annual orders from medical providers.

3. Establish rapport and a support system for persons receiving services, Residential Providers, and Case Managers in order provide safe and optimal services.

4. Provide accurate and up-to-date Medication Boxes (MRBs) to all independent clients.

5. Assessing and assisting with self-medication skills.

6. Assure all meds are checked in and out of the nurse's office and securely locked.

7. Provide and record vital signs as needed, and provide lab reports as requested.

8. Coordinate the QMAP trainings and competency exam.

9. Coordinate, and assist with, AIMS clinic.

10. Attend medical trainings as needed.

11. Assist RN with medical protocols as needed.

12. Review the computerized Medication Administration Record Therapy Program.

13. Coordinate all medication issues with RN, Case Manager, and Pharmacy as needed.

14. Assist RN or other QMAP certified staff to dispose of discontinued and expired medication and ensure requirements with Schedule II medications are met.

15. Performs administrative activities such as ordering PPE supplies, maintaining files, processing paperwork, and filing.

16. Cover lunch breaks and vacations for front office, as determined by front office manager.

Additional Duties and Responsibilities

1. Must work closely with other Ariel Programs and offices.

2. Perform other duties as assigned.

Requirements

Required Knowledge, Skills and Abilities

1. Strong background in medical field and an understanding of, and ability to work with, youth and adults with intellectual and developmental disabilities.

2. The ability to effectively communicate with a variety of abilities, including both verbal and nonverbal individuals receiving services.

3. Ability to work independently, prioritize workload, complete a wide variety of tasks in a timely and accurate fashion and direct others, as needed.

4. Moderate computer knowledge including Microsoft Office Word and Excel.

5. Exercise independent judgment within the scope and boundaries of the department, the Agency's Standard Operating Procedures, and Federal, State and Local Rules and Regulations regarding department operations.

6. Ability to organize and present case material in a straight-forward and concise written manner.

7. Ability to provide reliable, insured transportation for self and others.

8. Ability to demonstrate consistent and reliable attendance as scheduled and requested.

Education and Experience

Required:

• High School Diploma or GED,

• At least one year of administrative experience.

• One year experience with Intellectual/Developmentally Disable population.

Preferred:

• One years' experience in a medical setting

• Associates Degree or higher in health or behavioral sciences.

• Medical Assistant Certification

Certifications/Licenses

Required:

1. Valid Regular Driver's License, with acceptable driving record.

2. CPR, First Aid for all ages

3. CPI

4. QMAP

Supervisory Responsibilities

Physical Demands

1. This position requires that the incumbent be capable of bending, sitting, stretching, and/or reaching regularly for periods up to two hours without a break.

2. This position requires that the incumbent have adequate hand and finger dexterity to properly perform the functions of the position.

3. This position requires lifting regularly up to 10 pounds.

4. This position requires the ability to hear, see, smell, and distinguish temperature, at a level which is adequate to ensure client and staff health and safety. Adaptive devices are acceptable.

Work Environment

1. Exposure to typical climate-controlled office environment when in the office.

2. Exposure to all climates and weather conditions while working in the field.

3. Exposure to blood borne pathogens and infectious disease is possible but limited.

4. Exposure to hazardous chemicals is possible but limited.
