Temp Admin Assistant

Schedule: 9:00 AM - 5:00 PM, 35 hours per week
Duration: 2-3 months (short-term project)
Reports to: Program Director
We are seeking a detail-oriented and organized Admin Assistant (Tenant Chart Organizer) to support a non-profit organization in Brooklyn. This temporary role focuses on auditing and organizing tenant charts to ensure all records are accurately filed, categorized, and easily retrievable. The ideal candidate will have excellent organizational skills, attention to detail, and experience handling sensitive information.
Key Responsibilities:
1. Organize and Categorize Records
Audit tenant charts for completeness and accuracy.
File and classify tenant documents according to the Table of Contents.
Create two volumes of tenant charts, as needed, with guidance from the Program Director.
2. Maintain Confidentiality
Handle sensitive tenant information with discretion and in accordance with confidentiality policies.
Adhere to best practices for information security and data protection.
3. Report Findings
Communicate any issues, discrepancies, or necessary adjustments to the Program Director.
Provide regular updates on the progress of chart organization tasks.
4. Collaborate with Staff
Work closely with the Program Director and other team members to ensure tenant records meet organizational standards and goals.
Coordinate with staff to gather missing or incomplete documentation as needed.
Qualifications:
Strong attention to detail and organizational skills.
Proficiency in Microsoft Excel (intermediate level).
Ability to create charts, columns, and manage data efficiently.
Strong communication skills and the ability to follow directions effectively.
Experience handling sensitive and confidential information with professionalism and discretion.
Ability to work independently and manage time effectively.
Preferred but not required: Experience as a medical administrative assistant or working with sensitive data in a similar capacity.
Additional Information: This is an on-site position based in Brooklyn.
The role requires minimal interaction with clients and will focus primarily on internal documentation and record management.
The position involves collaborating with another agency to ensure that tenant records are up to date and compliant.
