POSITION SUMMARY:

The Revenue Cycle Document Imaging Specialist at UW Health oversees revenue cycle documentation retrieval, scanning, indexing, quality control, and disposal when necessary. To speed financial workflows and maintain data and information security, these responsibilities will be carried out in compliance with organizational timelines and policies while protecting UW Health in accordance to state and federal standards. The process of storing, retrieving, reviewing, analyzing, and appropriately indexing each document to the relevant patient encounter and document type is an example of applying knowledge. By identifying the funds received, the position may help ensure that all financial transactions are appropriately documented.

EDUCATION/TRAINING:

EXPERIENCE:

Minimum:

One year experience dealing with document imaging workflows.

Two years experience in Revenue Cycle/Healthcare Industry.

Preferred:
One year experience working with OnBase.

One year experience working with Epic.

REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES:
  • Excellent verbal and written communication skills.
  • Knowledge of indices and filing systems necessary to file, store, and retrieve information from paper and electronic record systems preferred.
  • Ability to examine and verify patient identification for accurate billing records.
  • Ability to examine a document and determine its proper placement within the billing record.
  • Basic medical insurance terminology preferred.
  • Detail orientated and ability to be self-motivated to prioritize and make decisions to complete duties in a timely manner.
  • Ability to work under pressure of deadlines.
  • Excellent interpersonal communication and team skills in a complex organizational setting.
  • Ability to work in a team environment and to collaborate with a variety of professionals.
  • Knowledge of and experience with conflict resolution techniques and problem analysis/resolution skills preferred.
  • Knowledge of UW Health organizational structure preferred.
  • Proficient in the operation and use of computers and scanners including various software programs such as Epic, word processing and spreadsheets.
  • Ability to perform routine maintenance and basic maintenance of scanning equipment preferred.
  • Ability to maintain patient and employee confidentiality.
  • Ability to perform repetitious movement, including long periods of standing or sitting, along with the ability to stoop, bend, reach, step up and sit for extended periods of time.
  • Ability to perform job function and make decisions without direct supervision.
  • Ability to work independently with a high degree of accuracy and access to private workspace.
MAJOR RESPONSIBILITES:

Document Imaging
  • Provide education and direction to health care staff regarding revenue cycle documentation completion and confidentiality requirements.
  • Collaborate with revenue cycle staff as needed to remedy identified image deficiencies or corrections.
  • Organize, scan and/or index required documents upon completion of the specific documents electronically in accordance with the record retention policy.
  • Process incoming mail and prepare documents for scanning.
  • Collaborate with OnBase team members to report production or performance errors and assist with testing.
  • Monitor daily workflow volumes and act upon them within the priorities established by management.
  • Follow statutory guidelines and other regulations to independently evaluate completion and accuracy of documents and correcting errors.
  • Identifies need for and provides education on performance trends to clinic-based teams.
  • Performs other duties as assigned.
Administrative
  • Provide Manager/Supervisor with suggestions for improvement in workflows.
  • Communicate with co-workers and leadership in order to maintain proper processing methods and remain aware of proper procedures.
  • Actively participate in process improvement, engagement, department, staff and other work meetings/teams.
  • Maintain knowledge of and adhere to all HIPPA, confidentiality and compliance regulations, rules, guidelines, policies and procedures.
  • Effectively be able to prioritize electronic images to be processed to maximize the opportunity for downstream revenue cycle teams to perform their functions timely and effectively.
