Documentation Representative - Ocean Shipping

Located in Salt Lake City, Utah area.

On-site role Mon-Fri (w/1 hour lunch).

Within our organization, OOCL Documentation department produces the bill of lading based on the booking and cargo information provided by the customer. This team is also responsible to coordinate the preparation of Export and Import manifest with customers and other functional departments to ensure the containerized cargo meets customs requirements at origin and at destination. By joining the Documentation team, you will have the opportunity to develop your knowledge of the various aspects of the shipment process.

Position Responsibilities for Documentation Representative - OceanShipping:
  • Respond to incoming calls and provide clear and concise response to inquiries, troubleshoot problems, provide accurate information, and maintain a pre-defined Key Performance Indicator (KPI).
  • Process external and internal requests submitted electronically or via email. Complete urgent cases including those submitted by offshore Documentation group within same day.
  • Monitor incomplete Bill of Ladings and communicate directly with customers and other functional departments to facilitate completion. Release Bill of Lading upon completion and vessel sailing.
  • Reconcile advanced manifest services in order to resolve discrepancies, obtain missing information and submit manifest to customs and terminals
Minimum Requirements:
  • Excellent oral and written communication skills
  • Ability to prioritize tasks, time management and flexibility
  • Working knowledge of Microsoft Office products
Preferred Skills:
  • Knowledge of Tariff rules and regulations
  • Knowledge of customs, letter of credits and shipping industry related experience
  • Attention to details
  • Spanish/English bilingual
