Department: Organizational Collaboration Reports to: VP, Organizational Collaboration

Date Prepared:08/15/24 FLSA Status: Exempt

Purpose of Position: Facilities leader responsible for daily building/s and grounds management activities including general maintenance, custodial services, landscaping, environmental services (heating, cooling, lighting) and security. Responsible for securing bids from vendors, reviewing vendor contracts with the Vice President of Organizational Collaboration, and managing vendor relationships/budgets for all United Way of Greater Milwaukee & Waukesha County facility locations. Works in partnership with Office Manager and Facilities and Logistics staff.

ESSENTIAL JOB FUNCTIONS and EXPECTED PERFORMANCE STANDARDS/OUTCOMES include the following. Other duties may be assigned but are not limited to:

FACILITY MANAGEMENT

  • Manages all day-to-day operations of the organization's current facilities by maintaining project list and work plans and providing services within specified budgetary controls.


  • Conducts regular inspections of buildings and grounds to ensure employee/visitor safety, building/office aesthetics and function, and property value preservation.


  • Prioritizes and coordinates scheduled maintenance projects.


  • Anticipates problems, plans for peak building usage, and reviews facilities support operations that need frequent and regular attention.


  • Provides direct maintenance services where appropriate including (but not limited to):


  • Plumbing repair


  • Electrical repair


  • Lock opening and repair


  • Carpentry work


  • Coordinates/ensures security measures for facilities, including scheduling of fire alarm tests and drills per code. Responds to security alarm company calls.


  • Provides pest control services.


  • Works closely with all building maintenance service vendors to ensure quality service and achievement of project/service deadlines (housekeeping, landscaping, snow removal).


  • Manages Operations and Volunteer Center warehouse space, including deliveries of supplies and donations, and forklift operation when needed.


  • Supports meeting room setups as needed and makes efficiency recommendations.


  • Provides corporate pick-up and delivery services utilizing the organization's cargo vans.


  • Reviews Operations Ticket submissions and ensures timely response to requests for support.


  • Supports colleagues in logistical planning for large-scale events held at the Volunteer Center.


  • Supports supply drive product receipt and warehousing.


  • Trouble shoots and fixes audio issues during events/meetings when office manager and division administrative staff are not available.


  • Other duties as assigned.


GROUNDS MANAGEMENT & WORK ASSIGNMENTS

  • Oversees and supports basic grounds maintenance including:


  • Trash control


  • Fence maintenance


  • Sidewalk cleaning


  • Parking lot control/cleaning


  • Signage control and maintenance


  • Detail snow shoveling and salting


  • Monitoring of outside property usage and trespassers


  • Lawn and shrub monitoring/light maintenance


  • Maintains on-going grounds project list.


  • Works closely with all grounds' maintenance service vendors


FIXED ASSET CONTROL

  • Controls and coordinates building-related equipment acquisition, maintenance, movement and storage.


  • Coordinates and ensures proper maintenance of corporate automobiles and other mechanical equipment (forklift, snow blower, lawn mower, etc.).


  • Maintains control over any equipment and/or furniture on loan, repair, etc.


SUPERVISORY RESPONSIBILITIES: This position has no supervisory responsibilities. However, this position works in partnership with Office Manager and Facilities and Logistics Coordinator.

EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED) required with manual arts concentration preferred; and two years vocational training or equivalent experience; plus, four years' experience in building management, operations and maintenance.

SKILLS

  • Excellent manual dexterity including ability to use a wide variety of power and other hand tools.


  • Plumbing, electrical, light repair, basic carpentry, telephone system, and integrated office partition/workspace knowledge/skills.


  • Fork truck operation, including required certification.


  • Equipment maintenance knowledge.


  • Clean driving record with valid Wisconsin driver's license.


  • Knowledge of equipment and furnishings, maintenance procedures, and sources of supply, repair and disposal.


  • Experience in the selection and control of vendors who provide building and grounds maintenance and service.


  • Knowledge of metropolitan area for pickup and deliveries.


  • Knowledge of basic inventory control and stocking procedures.


  • Knowledge of fire and building codes and OSHA requirements.


  • Additional knowledge of ADA facility requirements helpful.
