Position Description

Position Title: Receptionist*

REPORTS TO: Superintendent

TERMS OF EMPLOYMENT: 12 months employment with benefits

QUALIFICATIONS:
  • High School diploma or G.E.D.
  • Excellent telephone and communication skills and a focus on customer service.
  • Good attendance.
  • Strong interpersonal skills with a cheerful, welcoming personality to greet visitors and provide a positive first impression.
  • Proficiency in office procedures, data entry, and technology, including Microsoft Excel, Word, and other administrative software.
  • Ability to manage multiple tasks efficiently, prioritize responsibilities, and work independently.
  • Strong organizational skills and attention to detail.
  • Excellent telephone and communication skills.
  • Ability to handle confidential matters with discretion.
  • Flexible and willing to assist with various administrative needs.
  • Notary Public License
JOB GOAL: Ensure the efficient operation of the Education Center by managing front desk responsibilities while providing administrative and technical support.

ESSENTIAL JOB FUNCTIONS:
  1. Serve as the first point of contact for visitors, answering phones, directing calls, and providing a welcoming and professional presence.
  2. Manage incoming and outgoing mail, including inter-school correspondence.
  3. Maintain and update district telephone messages.
  4. Oversee the organization and maintenance of office equipment, ensuring functionality and troubleshooting minor issues.
  5. Assist with document preparation, including typing correspondence, reports, and notices.
  6. Perform data entry tasks in district systems.
  7. Organize and process flyer distribution requests for students and staff.
  8. Maintain digital and physical filing systems for office records and reports.
  9. Coordinate communication between staff and administrative offices as needed.
  10. Utilize Microsoft Excel, Word, and other office software to support administrative functions.
  11. Assist other office personnel with projects and tasks as needed.
  12. Perform other duties as assigned by the Superintendent.
OTHER JOB FUNCTIONS:
  • Ability to work under time constraints and manage multiple deadlines.
  • Frequent use of computers, office equipment, and various software programs.
  • Occasional physical activity such as standing, sitting, walking, reaching, and light lifting.
  • Potential exposure to sensitive situations, including interactions with students and the public.
  • Occasional exposure to blood, bodily fluids and tissue.
