Project Office Manager

Agility Recruiting is partnering with a local construction company looking to bring on a full time Project Office Manager right away. Under the guidance of the project manager, the incumbent oversees office functions and maintains project files, ensuring seamless business operations. This person will sit onsite at their Oakland office. 

Responsibilities:

  • Assist project manager in document preparation and filing, including subcontracts and purchase orders.
  • Establish and manage project files, encompassing subcontract details, purchase orders, and correspondence.
  • Compile and disseminate reports as directed by project manager, such as job and equipment reports.
  • Manage payroll distribution and process invoices for reconciliation.
  • Maintain payment logs for subcontractors and purchase orders.
  • Liaise with accounting and engineering divisions for invoice and project submission.
  • Facilitate electronic distribution of project-related documents and correspondence.
  • Handle incoming and outgoing mail and deliveries.
  • Administer paperwork for new hires and terminations.
  • Monitor and replenish office supplies inventory.
  • Coordinate distribution of project safety information.
  • Provide assistance to visitors and stakeholders, offering pertinent information and support.
  • Perform additional duties as assigned.

Qualifications:

  • Familiarity with Procore is advantageous but not mandatory.
  • Minimum of two years' experience in office administration or relevant training.
  • Proficient in organizing office transactions and coordinating activities pertinent to construction projects.
  • Strong interpersonal, organizational, and communication skills.
  • Ability to cultivate and sustain positive relationships with supervisors, colleagues, vendors, and associates.
