Administrative Assistant
Pay Rate/Range: $17.99
Hours: 7:00 a.m. to 4:00 p.m.
Location: Nashville, TN
Duration: 1 year
Key Responsibilities
  • Visitor and Communication Management
    • Greet visitors, respond to requests, answer phones, screen calls, take messages, and assist in resolving routine inquiries on departmental policies/procedures.
  • Supervision
    • Supervise or provide guidance to lower-level clerical personnel as needed.
  • Scheduling and Event Coordination
    • Schedule appointments independently and coordinate meetings, conferences, and special events, handling catering, presentation materials, and equipment.
    • Arrange travel and lodging, process expense reports, and manage logistics for department events.
  • Administrative Support
    • Interpret and implement administrative decisions and policies.
    • Review and prioritize incoming mail and correspondence.
  • Office and Resource Management
    • Order office supplies, maintain department filing systems, and handle record-keeping.
    • Oversee equipment repairs and work with facilities to ensure effective use of resources.
  • Data Management and Reporting
    • Assist in creating and managing data for reports, charts, graphs, spreadsheets, and databases.
    • Monitor and approve department expenses, budgets, and account records.
    • Compose documents, update databases, and maintain departmental websites.
  • Confidentiality and Project Support
    • Handle confidential information with discretion.
    • Conduct independent research, analyze and summarize data for reports, and support large project coordination.
  • Calendar and Task Management
    • Maintain calendars for department management.
Job Requirements
  • Education and Experience
    • High school diploma or equivalent, with at least three years of administrative support experience and knowledge of general office procedures.
  • Skills and Competencies
    • Strong listening, verbal, and written communication skills.
    • Discretion and independent judgment within established policies and procedures.
    • Proficiency in Microsoft Office (Word, Excel, Access, PowerPoint) and internet search software.
    • Familiarity with pivot tables and advanced spreadsheet formulas is preferred.
    • Excellent attention to detail, multitasking, and organizational skills.
    • Problem-solving and time management abilities.
  • Physical Requirements
    • Ability to work in a seated position for extended periods.
    • Perform office tasks requiring fine motor skills (e.g., typing, filing).
    • Adequate vision, hearing, and other sensory abilities to complete tasks safely.
