Executive Assistant II

This is an intermediate business support position responsible for performing advanced, diversified and confidential secretarial and administrative duties for chief executives. Work involves performing complex secretarial and administrative services requiring considerable independent judgement, initiative and discretion within the Company policies. An employee in this classification acts with wide latitude under moderate supervision, with work results reviewed through the achievement of results desired, and adherence to policies and procedures.
Key Accountabilities
- Serves as a primary contact and information source for assigned chief executives and/or reporting organization staff members; uses discretion to prioritize and screen calls, correspondence, and visitors
- Evaluate and strategic placement of meeting/time requests
- Direct contact/liaison from the C-Suite Office to external partners & organizations, including coordinate thorough travel arrangements and necessary preps
- Coordinate some personal schedule items for seamless flow to corporate schedule
- Reconcile expenses
- Support scheduling and expense reconciliation needs of Board of Directors
- As directed - coordinate, and facilitate execute requests related to the office environment and needs associated with the office facility
- Serve as facilities liaison and point person for assigned office location
- Other assigned facilities related duties and tasks as assigned
- Researches, analyzes, and summarizes business information
- Researches a variety of information requests and follows up as needed; maintains confidentiality of sensitive corporate & personnel information
- Uses advanced skills to create complex word processing, spreadsheets and graphics documents using MS Word, PowerPoint, Excel and the internet
- Schedules and maintains calendar, travel itineraries and related arrangements
- Coordinate logistics of large-scale events, off-site meetings, conferences, workshops, etc.
- Initiates and prepares correspondence, memoranda, reports, meeting minutes, follow-ups, etc.
- Receives mentorship from Lead Executive Assistant
- Performs all other related duties as assigned
- High School Diploma or equivalent with three years of administrative experience
- High degree of discretion and ethical standards
- Professional demeanor and composure
- Demonstrated proficiency in business correspondence, spelling, grammar and basic accounting
- Excellent written and verbal communication skills coupled with ability to draft correspondence "in the voice of" the executives supported
- Ability to establish and maintain effective working relationships with leaders, coworkers, customers, community and investors
- Ability to efficiently handle competing priorities and tasks, remain organized and meet deadlines
- Ability to work as a team player or independently
