POSITION OVERVIEW
1/ST is seeking a highly organized and personable individual to join as the Office Manager and Administrative Assistant. The ideal candidate will be responsible for managing the day-to-day administrative operations of 1/ST’s corporate headquarters while also providing exceptional receptionist duties to ensure a smooth and welcoming experience for clients, visitors, and employees.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Administrative Support: Schedule and coordinate meetings, appointment and travel arrangements across different time zones, often changing rapidly. Prepare and distribute memos, emails, and reports for various projects including data entry, document preparation and research tasks. Assist with basic accounting tasks such as expense reports and invoice processing. Work closely and effectively with executives to keep them well informed of upcoming commitments and responsibilities and following up appropriately.
- Office Organization: Develop and implement office policies and procedures to improve efficiency and productivity. Take ownership of office supplies and equipment, ensuring the office remains properly stocked and well-maintained. Maintain filing systems and electronic databases. Oversee office maintenance and repairs, liaising with building management as necessary.
- Reception Duties: Welcome visitors in a friendly and professional manner creating a positive first impression. Manage incoming calls and inquiries, directing them to the appropriate person or department. Process incoming and outgoing mail and packages. Maintain a clean and organized reception area.
- Cross-functional Collaboration: Embrace our startup mentality by being adaptable and proactive in addressing office needs and challenges. Be a trusted resource for our team members, providing support and assistance with various administrative tasks.
- Proven experience in a similar role, preferably in an office setting.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite and other office software.
- Attention to detail and problem-solving skills.
- Ability to work independently and prioritize tasks effectively.
