Description

The DuPage County Health Department is proud to announce an opportunity to work in our Organizational Development team as a Division Support Assistant. This part-time role is currently a hybrid position working remotely and on-site out of our Central Public Health Center in Wheaton, IL. The position will be 20 hours a week, with some flexibility within normal business hours.

Responsibilities

  • Assists the department director, or assigned supervisor, with maintaining files, paperwork, and other records of a confidential nature
  • Maintains logs and files related to budgets, accounts payable, purchasing, and/or payroll
  • Makes continuous use of technical and program-related vocabulary
  • Assists internal and external customers with the accurate completion of forms and the process for submittal
  • Answers general inquiries regarding policies or procedures by providing information requiring general interpretation and familiarity with divisional policy and operations
  • Oversees and orders inventory of office supplies, equipment, and services within prescribed procedures and contractual agreements
  • Ensures the efficient flow of office support services
  • Schedules appointments, takes messages, and refers customers to the proper parties
  • Acts as secretary for assigned committees, including preparing agendas and minutes
  • Collects and compiles statistics and information from identified sources
  • Prepares charts, graphs, and tables for presentation or inclusion in reports
  • Composes routine letters and memoranda for supervisory review
  • Composes and types general correspondence, spreadsheets, and reports from rough drafts or general instructions
  • Participates in emergency response activities as assigned
  • Maintains required training, licensure, and/or certification
  • Maintains confidentiality of privileged information and adheres to patient privacy laws
  • Demonstrates sensitivity and understanding of other ethnic groups and cultures
  • Adheres to department guidelines for attendance and punctuality

Requirements

Five years of skilled secretarial and administrative support experience, which included a high volume of public contact and responsibility for preparing correspondence, spreadsheets, and other documents from scratch, or an equivalent combination of training and experience.
