Essential Job Functions:

  • Manage the President's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Screen and prioritize incoming communications, including emails, phone calls, and mail.
  • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the President.
  • Maintain filing systems, both electronic and physical, ensuring easy retrieval of documents.
  • Handle expenses reports and reimbursement requests for the CEO.
  • Coordinate and facilitate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist the CEO in managing various projects and initiatives by tracking progress, deadlines, and deliverables.
  • Conduct research and gather information to support decision-making processes.
  • Coordinate with other departments and stakeholders to ensure alignment and collaboration on key initiatives.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Maintain a high level of professionalism and integrity in all interactions and communications.
  • Special Projects and Additional Responsibilities:
  • Take on special projects and assignments as requested by the CEO, which may include research, analysis, or event planning.
  • Anticipate the needs of the CEO and proactively identify opportunities to provide support or streamline processes.
  • Adapt to changing priorities and deadlines in a fast-paced environment.

Requirements:

  • Bachelor's degree or Above.
  • Proven experience as an executive assistant or similar role.
  • Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels of the organization.
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Discretion and confidentiality when handling sensitive information.
  • Adaptability and resourcefulness in problem-solving.
  • Professionalism and a positive attitude, even under pressure.
