Senior Staff Assistant Overview
The Senior Staff Assistant in the Services Department plays a crucial role in managing payroll, attendance, and other essential records. This position supports the Division Manager and Section Managers by preparing and submitting necessary paperwork, correspondence, and documents. The role demands exceptional customer service, meticulous attention to detail, and the ability to handle various administrative tasks efficiently.

Key Responsibilities

  • Payroll and Records Management: Compile, compute, and maintain payroll, attendance, and other necessary records. Track personnel records related to the Division's day-to-day functions, including payroll and performance documentation.
  • Administrative Support: Prepare and submit paperwork for Library Services personnel actions. Compose, type, proofread, and generate reports and forms. Deliver mail, schedule meetings, prepare and distribute materials, and summarize meeting minutes.
  • Customer Service: Provide outstanding customer service in person, via email, or on the telephone. Respond to inquiries in a professional and courteous manner.
  • Purchasing and Budget Monitoring: Handle centralized purchasing of office and operating supplies for the library system. Prepare purchase orders and invoices, process payments, and monitor budget expenses for the Division.
  • Special Projects and Research: Conduct research and coordinate special projects related to Division needs. Manage inventory, computer leasing, and vehicle assignments.
  • Travel Coordination: Arrange and prepare documents for travel to conferences, seminars, and other events.
  • Confidentiality: Maintain and safeguard confidential information, including sensitive library patron records.
  • Emergency Duties: In the event of an emergency, all employees are considered essential personnel and may be required to perform alternate duties.
Qualifications
  • Strong knowledge of County policies and procedures, particularly related to purchasing.
  • Proven ability to provide exceptional customer service and handle various administrative tasks with accuracy and efficiency.
  • Excellent organizational skills and attention to detail.
  • Ability to manage confidential information responsibly.
