Position Purpose and Objectives:

We are seeking a detail-oriented and efficient Escrow Assistant to join our team. As an Escrow Assistant you will be responsible for ordering title reports, tax certificates and facilitating and processing closings within established guidelines and regulatory compliance. You will collaborate with lending officers, underwriters, and customers to ensure a smooth and timely closing of transactions. The ideal candidate will have a strong understanding of Texas Title rules and regulations and excellent organizational skills. Under the direction of the Branch Manager, Assistant Branch Manager or Escrow Officer, assists in the closing of real estate transactions.

Major Duties and Essential Functions:

  • Receipts purchase agreements and provide copies as necessary for the parties.
  • Inputs orders into the escrow processing system and prepares working file.
  • Maintains the calendar of due dates within escrow processing system on files for closings.
  • Prints title commitments/preliminary title reports and mails, faxes or emails with restrictions and exception instruments to appropriate parties.
  • Obtains current information for closing including homeowners dues, payoffs, tax certificates, surveys and other documentation.
  • Prepares files for closing which includes but is not limited to review of closing documents provided by lender, detailed tax forms, escrow forms, and others by sorting and completing the proper and appropriate documentation.
  • Communicates with lenders, clients, agents, outside title companies, attorneys, buyers, and sellers to obtain information for closings, to inform of closing dates, and to facilitate the answer of any questions.
  • Sets appointments for Escrow Officer/Closer to perform closing.
  • Assists in the resolution curative requirements by requesting information from the appropriate parties.
  • Prepares, reviews, inputs and deliver settlement statements for approval and preliminary disbursement worksheets.
  • Funds closed transactions, receipts other funds collected at closing, and disburses all proceeds to appropriate parties.
  • Reviews and initiates wire transfers under the direction of an Escrow Officer.
  • Prepares and ships closing packages to lenders and copies to the appropriate parties.
  • Prepares and forwards appropriate documents to county recorders office to arrange for recording.
  • Forwards the file to Post Closing in proper audit review order.
  • Performs clerical duties including managing faxes, copying documents, ordering and maintaining supplies, preparing daily bank deposits, and performing daily banking actions.
  • Relieves the receptionist on the front desk.
  • Acts as an effective team member by helping develop other staff members, providing assistance to other staff members as needed and encouraging others to perform at peak levels.
  • Complies with the company’s Employee Handbook with Standards of Service and minimum quality and production standards established for position.
  • Performs other duties as assigned.
  • Collaborate with underwriters to provide necessary information and documentation for loan approval.
  • Keep customers updated on the status of their loan applications and address any concerns or questions.
  • Ensure compliance with all applicable laws, regulations, and internal policies throughout the loan processing cycle.
  • Order title reports and tax certificates and review the content of information received related to such orders.
Other duties necessary to achieve the goals of the title company:

Positions directly supervised: Branch Manager or Escrow Officer

Specific knowledge, skills, and abilities required for this position:
  • In-depth knowledge of title insurance regulations and guidelines.
  • Familiarity with escrow software and automated underwriting systems including RamQuest.
  • Strong communication and interpersonal skills.
  • Excellent attention to detail and ability to multitask effectively.
  • Strong organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Proficient in MS Office Suite.
  • Knowledge of Fair Lending laws, TRID, RESPA, and other mortgage lending regulations is a plus.


Education:

High school diploma or equivalent; bachelor's degree in finance or related field preferred.

Experience:

Proven experience as an Escrow Assistant or similar role in the title industry.
