Administrative Assistant- Maintenance Department

Opportunity summary: Maintenance Administrative Assistant for the Roanoke Rapids, NC papermill facility is responsible for supporting the maintenance department by managing data and documentation related to equipment, repairs, and preventive maintenance. This role ensures accurate record-keeping, tracking of inventory, and maintaining schedules for equipment servicing. This role also includes the management of Payroll process within the Maintenance department. This position involves tracking, and documenting employee hours assisting with payroll submission, and ensuring accurate records for maintenance staff compensation.
Key Responsibilities:

Master Data Administrator (MDA): Manage and update maintenance records in the JDE system, organize work orders, and track maintenance requests.

Inventory Management: Collaborate with Maintenance Planners to adjust inventory levels and manage the RARD ACCESS Database.

Scheduling and Coordination: Assist in scheduling preventive maintenance tasks and communicate with planners about pending work orders.

Reporting and Analysis: Generate regular maintenance reports and provide insights on maintenance trends.

Documentation and Compliance: Ensure maintenance documents are up-to-date and support compliance with company policies and safety regulations.

Time Tracking and Attendance: Accurately track and record maintenance staff attendance and assist with payroll-related inquiries.

Payroll Preparation: Prepare and submit payroll data, ensure timely submissions, and review payroll reports for accuracy.

Communication and Coordination: Serve as the point of contact for payroll-related questions and communicate with HR regarding payroll deadlines and employee changes.

Maintenance Training: Maintain the maintenance training application and database, and update employee records.

Maintenance Procedure Application (TULIP): Manage security access and provide training and support for the application.
What You Need to Succeed:

Education: High School diploma or G.E.D. (bachelor\u2019s degree preferred).

Experience: 3+ years in administrative support, customer service, sales support, HR, and/or payroll, preferably in a manufacturing environment.

Skills: Proficiency in computer software (JDE, CMMS), strong problem-solving abilities, excellent organizational and time management skills, and strong written and verbal communication skills.

Timekeeping and/or payroll experience preferred.

Demonstrated successful track record of effective problem-solving

Ability to use computer and related software programs (JDE, CMMS, etc.) to accomplish assigned tasks

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals

Ability to write routine reports and correspondence

Ability to maintain complex records and to assemble and organize data

Possess strong mechanical acumen to proactively identify parts and tools need to the Maintenance team

Possess strong collaboration skills with stakeholders across functions

Ability to set priorities, achieve deadlines, and manage multiple tasks at the same time

Demonstrates strong organizational and time management skills
