Title: Administrative Specialist - Drug Testing and Driver Qualification Files
Location: Canby, OR
Hours: Monday - Friday; 7am - 4pm

Wilson Construction Company has an opening at our Headquarters in Canby, Oregon for an Administrative Specialist to provide support to multiple departments to ensure all DOT Driver Qualification Records comply with state and federal law. This position requires a high degree of confidentiality and diligence in ensuring all regulatory requirements are met by the company.

Responsibilities:
• Maintain DOT Drug and Alcohol Database by ensuring testing is performed as required and pool is maintained correctly;
• Schedule drug screens for new hires, random, reasonable suspicion and post-accident testing as required;
• Ensuring compliance with DOT, FMCSA, Driver Qualification documentation, Motor Vehicle Reports, and Drug and Alcohol testing;
• Request Full Query on all new hires in Federal Clearinghouse website;
• Maintain, update, and implement driver qualification records per current DOT regulations;
• Monitor drivers through SambaSafety;
• Notify drivers of upcoming document expirations, obtain renewed documents, and upload on company personnel software;
• Ensure DOT and Non-DOT new hire paperwork is filled out correctly;
• Work with General Counsel as well as the Equipment and Safety Departments to address any Driver compliance issues; and
• Other projects and tasks as assigned.

Requirements:
• 3 plus years of experience in a professional office environment;
• Experience in a similar DOT administrative support role a plus;
• Strong organizational skills;
• Attention to detail;
• Proficiency in MS Office; BambooHR software experience is a plus;
• Ability to handle confidential material;
• Must be reliable and dependable;
• Ability to multi-task, follow directions, be open to change and work under pressure;
• Excellent written and oral communication skills; and
• Ability to communicate effectively with various levels of staff.

Ideal candidates will be team-oriented and have the self-motivation and organization to be an effective contributor to the Admin team, occasionally crossing over with administrative tasks among team members. Being able to communicate effectively and follow up assertively with a positive attitude is essential in this position.
