Job Summary:

The Director of Operations is responsible for the development, implementation, and monitoring of day-to-day systems and processes of the operation department. The Director of Operations provides ongoing guidance and supports the operation's employees, working to increase employee job performance and satisfaction in order to benefit the organization. The Director of Operations will drive the successful execution of Excel Facility Services' strategic operations plan by ensuring that key stakeholders have needed information and resources, removing blockages, maximizing coordination across functional areas, and optimizing the organization's operations department (e.g., structures, processes, and tools), gathering and managing key performance indicators (KPIs) internal stakeholder feedback, and working with executive management to make any necessary adjustments.

Duties/Responsibilities:
  • Develop and lead new expanded opportunities in a fast-paced environment.
  • Devise strategies to ensure growth, identifying and implementing process improvements that will maximize output and minimize costs while maintaining quality within the department.
  • Oversee internal and external reporting, including timely submission of reports from operational staff, collection and organization of supporting documentation (participant files, internal tracking tools), and the compilation of monthly goals & metrics for the operation department.
  • Direct evaluation and assessment processes (satisfaction surveys) to include service delivery, customer service, effectiveness, and progress toward objectives.
  • Set strategic goals and devise and implement strategies for operational efficiency, increased productivity, and timely completion of tasks.
  • Maximize efficiency and productivity through process analysis and interdepartmental collaboration.
  • Uphold company policies, standards, and compliance with contractual requirements as advised by the compliance department.
  • Select, train, direct, supervise, and evaluate staff and perform associated administrative functions including but not limited to the timely and accurate submission of timesheets, maintenance of personnel files, and the implementation of professional development plans/training activities for department staff.
  • Provide oversight related to the recruitment, screening, training, supervision, and evaluation of staff.
  • Work closely with Executive Director to lead the operation team with integrity, and establish and maintain a trusting, inclusive, and productive environment aligned with Excel Facility Services values.
  • Analyze information and maintain complete, organized, and accurate email communication.
  • Prepare and submit timely reports and other documentation.
  • Maintaining budgets and monitoring to effectively allocate resources and establish metrics to minimize costs and maximize impact.
  • Regularly review KPIs, operational issues, needs, and other critical information with the Executive leadership team.
  • Network with businesses, offices to identify resources and develop partnerships to strengthen service delivery and address community needs.
  • Represent the organization in public forums as required.
  • Practice continuous learning through individual study, classroom training, seminars, and conferences.
  • Duties, responsibilities, and activities may change at any time with or without notice.
  • Complete walk-thru of possible, new, and current locations, direct new roll-outs and determine delegations.
  • Collaborates with other divisions/departments to carry out the operation department goals and objectives.
  • Identifies training needs and ensures proper training is provided to the operation team.
  • Performs other related duties as assigned.
  • Direct, Manage, coach, and monitor management production and satisfaction.
  • Set team, and individual goals, and optimize business workflows by managing procurement processes and organizing them to enhance customer satisfaction.
  • Direct communication with prospects and current clients.
  • Plan and monitor the day-to-day operations to ensure smooth progress.
  • Complete re-inspections to ensure client satisfaction and management team production.
  • Complete the manager's tasks when staff is out or while new hire is in place.
  • 50% consists of traveling.


Supervisory Responsibilities:
• Direct the Operation department, interviews, hires, and trains management-level staff in the department.
• Direct the daily workflow of the department.
• Provides constructive and timely performance evaluations.
• Handles discipline and termination of employees in accordance with the HR Department.

Required Skills/Abilities:
• Excellent verbal and written communication skills.
• Strong management, supervisory and leadership skills.
• Extensive knowledge of the principles, procedures, and best practices in the industry.
• Excellent organizational skills and attention to detail.
• Strong analytical and problem-solving skills.
• Proficient with Microsoft Office Suite, Epay, Corrigo and related software.
• Preferable NJ resident but not required.

Education and Experience:
• Bachelor's preferred but not required.
• At least 5 years of industry-related experience including two years in upper management required.

Physical Requirements:
• Prolonged periods of sitting at a desk and working on a computer.
• Must be able to lift up to 15 pounds at times.
