The Program Assistant will promote and support the Inteleos culture of inclusivity. Core Responsibilities Assist in organizing and maintaining program-related documentation, including project plans, reports, and correspondence; Schedule and coordinate meetings, workshops, and events, both internally and with external partners; Manage email and other correspondences with responses to inquiries in a timely and professional manner; Support data collection and analysis for program monitoring and evaluation; Maintain accurate and up-to-date databases, ensuring the integrity and confidentiality of program-related information; Liaise with internal and external stakeholders to facilitate effective communication and collaboration; Draft and edit program-related communications, reports, and other documents as needed; Assist in coordinating travel arrangements, accommodations, and logistics for program staff and partners; Support the procurement process for program supplies and materials; Contribute to the preparation of regular Board of Director and program reports, highlighting key achievements, challenges, and lessons learned; Other duties as assigned. Supervisory Environment Works under direct supervision with precisely defined tasks and objectives. Makes decisions of moderate complexity with impact of work generally limited to the incumbent’s immediate work group, though there may be some impact at the next organizational layer. Work projects and products are subject to management review for content, quality, and appropriateness. Incumbent has no formal supervisory responsibility but may occasionally provide guidance to other employees. The incumbent will work at a desk in an office environment or an approved remote location. Regular visits to the Maryland office are required for project oversight and to facilitate the completion of assigned tasks. This position may require evening and weekend hours, as well as occasional travel. There are minimal requirements to lift or move equipment. Requirements Required Education/Experience Bachelor’s degree in a relevant field (e.g., public health, international development) or equivalent work experience; Minimum of 3 years of experience in program support or a related role; Proven organizational and multitasking abilities with strong attention to detail; Excellent written and verbal communication skills. Required Qualifications/Skills Proven ability to work independently and remotely, as well as collaboratively in a team; Strong verbal and written communication skills to interact effectively with internal and external stakeholders at all levels; Demonstrated ability to maintain a positive attitude in challenging situations; Experience in contributing to a supportive and positive team culture; Exceptional attention to detail and consistent follow-through skills; Experience in liaising with internal and external stakeholders to facilitate effective communication and collaboration; Excellent organizational and time management skills; Natural problem-solver skills with the ability to adapt to changing priorities and deadlines; Proven ability to manage and maintain accurate and confidential records and documentation; Experience in scheduling and coordinating meetings, workshops, events, and travel arrangements; Ability to support data collection, analysis, and report preparation for program monitoring and evaluation; Strong writing and editing skills for drafting program-related communications, reports, and other documents; Proficiency in office technology, including Zoom, Teams, Canva, Prezi, and experience with donor databases such as Donor Perfect; Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).
