Position Description

Our Staff Accountant will provide support and guidance and foster strong relationships with students and colleagues. Delivering exceptional customer service, meeting goals, and continuously improving processes, the Staff Accountant is an integral part of the ZSC team in creating a Promising Future for Every ONE

Responsible for overall operations of accounts payable functions including requisitions, purchase orders, invoices, check processing, employee expense reimbursements, daily deposits & reconciliation, and fixed asset tracking. Remain current, familiar, and compliant with all applicable State and Federal regulations and guidelines relating to higher education and accounting principles as well as College policies and practices.

Focus is on enforcing operational policies, recommending policy and process improvements, meeting goals/objectives, and delivering exceptional customer service while ensuring processes are efficient, accurate, and timely. Develops and maintains cooperative relationships with other divisions within the College. Provides assistance to students and back-up and support for other positions within the business office.

Assessment: Contributions to assessment for continuous quality improvement of the academic support area(s) within assigned scope of responsibilities.
Essential Duties and Responsibilities

Process vendor invoices and employee reimbursements, including requisitions, purchase orders, invoices, credit memos, new vendor accounts, verification of accounts/object codes, check issuance, etc. Ensure appropriate approvals and documents are obtained prior to payment. Prepare purchase orders for VP signature. Print, seal and mail checks. Prepare and file purchase orders with corresponding invoices and vouchers.
Back up support for the Business Office Senior Accountant position. Comprehensive training includes researching, analyzing, interpreting and preparing data and graphs, reviewing and interpreting trends, preparing Federal, State, and internal College reports, and reconciliation of College grants, services, and programs.
Provide assistance and support to the Business Office. Provides support to the front office with the collection of student tuition & fees and to our call centers (phones).
Contact staff and suppliers to resolve discrepancies and budget issues. Respond to vendor inquiries regarding payments and provide explanation of College purchasing policy and procedures to internal and external customers. Prepare correcting journal entries.
Train employees in using the College's selected software system for requisitioning, account approvals and budget review screens.
Inventory, tag equipment, input into computer system, and maintain the physical inventory report. Conduct an annual physical inventory for fixed assets and document result.
Responsible for completing year-end closings and external audits. Including but not limited to 1099-Misc processing; spreadsheets; journal entries; fixed asset listing; leases listing; and collecting data and researching issues as necessary.
Perform other duties as assigned.
Qualifications

Minimum qualifications for this position include the following:
  • Bachelor's degree in accounting or closely related field
  • 2-3 years' experience in accounting procedures
  • Position requires familiarity with generally accepted accounting principles
  • Proficiency with all Microsoft Office Software Applications, comprehensive excel experience, use of reporting tools/software
  • Strong interpersonal communication & customer service skills, effective time management & organizational skills
  • Ability to solve problems, prioritize tasks and work effectively with all levels of staff, faculty and students
