Summary:

The Payroll Specialist is responsible for overseeing the processing of payroll and the preparation of all related reports.

Responsibilities:
  • Inputs all personnel changes including new hires, terminations, status changes, and rate changes
  • Performs all operational payroll functions, such as reviewing/managing employee time cards, time off requests, etc.
  • Completes thorough prepraration, entry, and review of semi-monthly payroll processing, including quarterly and annual bonuses, and verifies accuracy of related reporting
  • Maintains payroll operations by following policies and procedures, and staying current with new and changing payroll and labor laws
  • Prepares check requests or wire transfers for approval, and transmits data and payment of payroll-related liabilities including 401(k), flexible spending, and workers comp premiums
  • Provides customer service to employees regarding questions about their pay, deductions, and taxes as they relate to employee compensation
  • Assists employees regarding issues with system access, self-service, password resets, etc. and works with ADP to resolve system issues on behalf of employees when needed
  • Troubleshoots payroll issues and makes any adjustments necessary to the system relating to void or manual adjustments
  • Receives, acknowledges, and processes employee garnishments and maintains compliance with all state and federal garnishment laws
  • Creates and prepares ad-hoc reports as needed
  • Performs periodic audits to ensure system data is consistent and accurate
  • Calculates and issues manual payroll checks as needed
  • Ensures accuracy by preparing and uploading related journal entries and account reconciliations monthly
  • Maintains payroll department compliance with established SOX procedures, and assists in the annual review of the payroll narrative and internal audit process
  • Assists in review of quarterly tax filings prepared by ADP
  • Works closely with HR to maintain accuracy of 401k plan, Flexible Spending plan, and other employee programs related to payroll
  • Contributes ideas for process improvements to continue innovating payroll department processes
  • Works closely with accounting to research issues and provide information for payroll-related bank account reconciliations
  • Assists in annual workers comp audit, as well as provides document requests for any other HR/Legal, accounting, or tax-related audits as needed
  • Balances & records employee taxable fringe benefits as required by law
  • Compiles information needed and ensures all required employee taxable fringe benefits are recorded in the year-end closing process as required by law
  • Assists with projects as assigned by management and/or executives
Knowledge and Skills:
  • Excellent communication (written and verbal) skills
  • Must be proficient in the Microsoft Office Suite with particular emphasis on Advanced Excel skills
  • Strong time-management skills and ability to plan and manage multiple tasks with strong attention to detail
  • Excellent problem solving and organization skills
  • Strong team player who can maintain high levels of confidentiality
  • Knowledge of accounting principles with good math skills
  • Ability to interact professionally with internal and external customers
  • Ability to read, write and communicate in English to the degree necessary to perform the job
Education and Experience:
  • High School Diploma required
  • Minimum of seven years of payroll experience, preferably using ADP WFN and Enhanced eTime
  • Experience writing custom reports; preferably using ADP WFN and Enhanced eTime
  • Experience with mid-volume (500+ employees), multi-state and multi-entity payroll
  • Experience working for public companies and SOX compliance a plus
  • FPC or CPP Designation a plus
