GENERAL SUMMARY:

The role will be mainly HR Coordination, consisting mainly of client triage, reporting, HR Processes and systems, supporting the staffing process, advising clients, partnering with the HR team, and providing project support. Periodically the incumbent will be expected to handle some basic administrative tasks such as scheduling, expense reports, travel support, and meeting support. The HR Coordinator anticipates and responds to employees needs and resolves questions and concerns around day-to-day HR processes, policies and systems inquiries, escalating to management as appropriate. He/she also promotes adherence to company policies and processes.

RESPONSIBILITIES:

  • Serve as the face of HR
  • Onboarding and offboarding of associates
  • Administrative project work including researching and gathering information from a variety of sources and formatting, analyzing and summarizing results
  • System Support (e.g., ADP, GreenHouse, etc) and data requests and analysis o Track and analyze key data; provide accurate information and respond to information and reporting requests.
  • Support the HR Team and clients in responding to requests for information and preparing analyses
  • HR Process Support and Related Communications includes data entry, running reports, sending announcements and reminders
  • HR Intranet site maintenance
  • Maintenance of HR office area
  • Maintenance of HR data and HR records
  • First contact for any client requests, including program or policy information.
  • Review and improve processes as needed for streamlining, effectiveness and value add to clients

Process Support

  • Process HR data in support of promotions, terminations, transfers and other organizational management
  • Liaise between employees and service providers to seamlessly execute on HR transactions
  • Respond to requests to run, compile and analyze HRIS reports Proactively build and establish relationship with all employees to understand their requirements and challenges Employee Support
  • Act as first line contact for client requests around policies, respond to employee inquiries, direct associates to information available on intranet or service providers
  • Work with the HR Team and service providers to process immigration and work visas A
  • ny other operational / administrative work
  • Special Projects as agreed upon

QUALIFICATIONS:

Education:

  • University degree or equivalent
  • Must have either a degree in HR OR HR/APHR certification

Experience/Skills:

  • Role requires a minimum of 2-4 years experience in a busy, systems-driven organization. HR Assistant/Coordinator role experience preferred, experience with HRIS, report writing. Strong understanding of HR processes, policies and resources that support line business partners
  • Preferred prior experience working within a healthcare or pharmaceutical environment
  • Understand the fundamentals of employee relations policies and processes (e.g., performance management, conflict resolution, company policy, complaint procedures and recognition programs, downsizing/staffing cutbacks)
  • Excellent written, verbal and interpersonal communication skills
  • Ability to adhere to the highest standards of professionalism, maintain confidentiality and consistently demonstrate sound ethics and good judgment. Excellent problem solving and multi-tasking skills
  • Excel, Outlook, PowerPoint, Sharepoint as well as HRIS and applicant tracking systems
  • Data analysis and expressing results in charts and graphs and through presentation
  • Team orientation
  • Familiarity with virtual communications tools Webex, GoToMeeting, Zoom, etc.
  • Excellent judgment in handling confidential, sensitive information
  • Able to take direction and execute work under others and also initiate and guide own work
  • Administrative experience managing calendars, expenses, travel
