Role Overview

The Facilities Coordinator plays a crucial role in ensuring the smooth operation of our facilities. They oversee vendors, manage work orders, and coordinate the maintenance of essential systems. The ideal candidate has experience in vendor management, understands building systems like power, HVAC, plumbing, and structure, has performed cleaning/landscaping/progress inspections, and can think critically and work independently. This position reports to the Facilities Manager.

Responsibilities and Duties

Vendor Management and Coordination:

•Perform document maintenance and contract review of vendors.

•Collaborate with vendors to schedule services, communicating timelines, expectations, and requirements.

•Regularly assess vendor performance based on agreed upon criteria

•Oversee vendor activities to ensure prompt and satisfactory completion of work

Work Order Management:

•Monitor the Facilities Work Order System.

•Update stakeholders on work order progress.

•Collaborate with Facilities Technicians to resolve issues efficiently.

•Perform minor repairs to resolve issues as-needed

Disaster Recovery:

•Assist in updating and maintaining the disaster recovery manual.

•Document minutes from disaster recovery exercises.

Tenant Relations:

•Address tenant complaints related to cleaning and maintenance promptly.

•Ensure tenant satisfaction and resolve issues effectively.

Task Tracking:

•Utilize Microsoft products to monitor Facilities tasks, including procurement and invoicing.

Financial Responsibilities:

•Perform general department related accounting and invoicing activities

•General procurement, including monitoring stock levels and ordering materials for building services and Facilities projects.

Other Duties:

•Perform additional tasks as assigned by management

Requirements

Preferred Education: High School Diploma or GED, plus certifications or degrees in Business, Facilities Management, Engineering, or related disciplines.

Minimum Required Experience: Five years' experience in a Facilities-related position

Specific skills: Proficiency with Microsoft Products; proficiency in general computer skills; excellent written and verbal English communication; understanding of building, electrical, plumbing, and HVAC systems; Spanish language skills a plus

Personal characteristics: Well-organized, detail-oriented, ability to work with a team or independently, multi-tasker, ability to work under pressure in a public space

Physical abilities: Ability to sit for long periods, ability to lift 50 pounds

Must have a valid Florida Driver's license and ability to drive for extended periods in a car; travel could be more than 3 hours in one sitting.
