Position summary:

The Customer Service Representative will provide essential administrative support, managing orders from third parties related to Industrial Fiber. This role includes full responsibility for order management of assigned customer orders and coordinating with various departments-such as sales, production, product management, accounting, marketing, logistics, and international counterparts-as well as KAI vendors, agents, and transportation. The goal is to ensure that customer order requirements are met in terms of quantity and timeliness.

Responsibilities:
  • Check and enter Accounts Payable/Receivable into SAP, communicate with Industrial Fiber team, accounting dept., customers and vendors especially logistics firm as needed
  • Check and issue PO/SO, inbound/outbound entry, issue invoice, create in SAP, print hard copy, communicate with Industrial Fiber team, accounting dept., KRC, customers and vendors especially logistics firm as needed.
  • Documents handling such as Packing List, Bill of Landing, Import Security Filing and Certificate of Analysis for import/export, communicate with KRC, vendors especially logistics firm and customers.
  • Delivery schedule tracking using information provided by outsource.
  • Store documents for each PO and organize data in shared BOX system.
  • Respond to email inquires
  • Provide regular delivery schedule updates to key customers.
  • Track outstanding AR/AP in SAP.
  • Communicate with customers and ask for payment if payment is delayed.
  • Registration any information into SAP as needed.
  • Send in-transit report to supervisor.
  • Communication support for expats and visitors from outside of the US.
  • Documents preparation for audit.
  • Support sales activities:
    • Update price list
    • Tradeshow logistics set up
  • Sample sending.
Minimum Qualifications:
  • High school diploma or equivalent required
  • A minimum of three years of business experience in customer service taking care of logistics.
  • Experience with SAP
  • Ability to perform basic data entry functions
  • Intermediate level of MS Excel and Outlook
  • Outstanding verbal and written communication, presentation, interpersonal, creative thinking, consulting, and analytical skills.
  • Ability to prioritize work to manage multiple projects to meet deadlines.
  • Excellent problem-solving/decision-making skills.
  • Ability to multi-task
  • Candidates must have a valid driver's license.
