Billing Specialist / Project Assistant

Westwood Professional Services, Inc. is seeking a Billing Specialist / Project Assistant to join the Public Infrastructure Division of our team. The ideal candidate is a detail-oriented individual with an accounting background that is familiar with either Engineering/Architecture/Commerical Construciton industry and 4+ years billing experience. This person will support Project Managers in the success of primarily public infrastructure projects through the administrative/professional side of project management. Billing responsibilities are for invoicing, lien waivers, and other accounting duties as assigned. Project Assistant responsibilities are for data integrity, document management, financial reporting, project set-up, and best practice implementation on projects. Westwood has a highly experienced and dynamic team of individuals dedicated to providing high-level professional services to our clients.
Duties and Responsibilities:- Prepare/assist with monthly invoice and supporting information creation and distribute invoices to project managers for updates and approvals.
- ERP (VantagePoint) entry, tracking, and data management.
- Support project managers, subconsultants, and clients with billing questions and issues.
- Assist Project Managers with project and contract administration set-up.
- Complete, obtain signatures, and re-distribute lien waivers back to project managers and clients.
- Prepare/assist with monthly monitoring and follow up on outstanding A/R balances.
- Prepare/assist with month end reporting and statements.
- Other misc. administrative and operational functions as assigned.
- A background in accounting and 4+ years of billing experience.
- Must have exceptional organizational skills with excellent attention to detail and accuracy.
- Ability to prioritize and multi-task in a fast-paced environment; meeting deadlines is crucial.
- Strong written and verbal communication.
- The ability to work with a diverse team of multiple project managers.
- Effective team member who displays initiative and acts with integrity.
- Strong Microsoft Office applications knowledge, specifically Microsoft Excel.
- Experience with Deltek Vantagepoint business software is a plus but not required.
Compensation Range Minimum:
USD $25.00/Hr.
Compensation Range Maximum:
USD $30.00/Hr.
