Maintenance Clerk

The Maintenance Clerk is responsible for providing administrative support to the maintenance department. This includes managing maintenance records, tracking inventory, scheduling repairs, and coordinating preventive maintenance. The role ensures that maintenance operations run efficiently, and that equipment and facilities are properly maintained.
Key Responsibilities:
- Recordkeeping: Maintain accurate and up-to-date records of maintenance activities, work orders, repairs, and preventive maintenance schedules.
- Work Order Management: Create, track, and close work orders; ensure they are assigned to the correct technicians and completed on time.
- Inventory Control: Monitor and manage inventory of tools, parts, and supplies. Reorder items as needed to ensure the department has necessary materials on hand.
- Scheduling: Coordinate and schedule preventive maintenance activities and repairs with the maintenance team.
- Vendor Coordination: Communicate with external vendors to arrange for equipment repairs and order necessary parts or services.
- Data Entry: Input data related to maintenance activities into maintenance management systems (CMMS or other software).
- Reporting: Generate reports on maintenance activity, work order status, and inventory levels.
- Compliance: Ensure maintenance records comply with company policies and safety regulations.
- Other Duties: Provide general administrative support as needed, including filing, answering phones, and assisting with technician requests.
Qualifications:
- Education: High school diploma or equivalent; associate degree in a related field is a plus.
- Experience: Previous experience in a maintenance or clerical role, preferably in a manufacturing or facilities environment.
- Skills:
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office (Excel, Word) and experience with maintenance management software (CMMS) is preferred.
- Excellent communication and coordination skills.
- Ability to multitask and manage time efficiently.
- Office environment with occasional exposure to industrial or manufacturing settings.
- May require occasional lifting of up to 25 pounds when handling parts or tools.
